With subscriptions and memberships you offer your customers recurring or one-time plans that are billed automatically. Subscribers can receive exclusive resources, booking quotas, and special conditions via communities.

  • For automatic payment processing, Online payment (Stripe Connect) must be set up.

How does the concept work?

A subscription plan defines the conditions of a subscription: price, billing interval, term, cancellation period, and optional benefits. Customers subscribe to a plan via your booking page, or you store a subscription manually in the admin area. The lifecycle of a subscription:
  1. Sign-up: The customer chooses a plan and takes out the subscription (optionally with a future start date).
  2. Active: The subscription runs, payments are collected automatically, and linked communities and quotas are active.
  3. Renewal: With automatic renewal activated, the subscription is renewed at the end of the term.
  4. Cancellation: The customer or admin cancels. The subscription continues until the end of the paid period.
Subscription plan groups organize your plans hierarchically. Within a group, each person may have only one active subscription. The order within the group determines whether a switch counts as an upgrade (moving up) or downgrade (moving down).
On an upgrade, the amount already paid is charged proportionally. On a downgrade, the new plan takes effect at the next billing date.

When do I use this?

  • You run a coworking space and want to offer membership tiers: Create subscription plans with different quotas and community access per tier.
  • You want to make courses or services accessible to members only: Link a subscription plan with a community and assign exclusive resources to that community.
  • You want to automate recurring revenue: Use subscriptions with automatic renewal and Stripe integration.
  • Not suitable for: One-time balance purchases without a subscription character. Use booking packages for that.

Relationship to other features

Settings & options

On the booking page, customers see the available subscription plans with price, benefits, and optionally a badge. With future start activated, a date picker additionally appears at checkout.
Use the preview on the right in the editor to check how your subscription plan is displayed on the booking page.

Create a subscription plan

Open subscription plans

Open Subscription plans in the menu bar on the left.

Create a new plan

Click New+ and give it a name.

Configure general information

Set the price, interval, term, cancellation period, and renewal behavior.

Link a community (optional)

Under Community, choose an existing community that subscribers join automatically.

Add quotas (optional)

Under Booking quotas, add an existing quota or create a new one.

Add benefits (optional)

Define visible benefits that are shown on the booking page.

Set the plan live

Set the plan to Live via the three dots. It now appears on your booking page.
You need at least the Essential plan and activated online payment to be able to set a subscription plan live.

Management in the admin area

Create a subscription manually for customers

You can also store subscriptions directly in the admin area, for example for existing contracts or customers without their own online access.

Open subscriptions

Open Subscriptions in the menu bar on the left.

Create a new subscription

Click New+ and choose a subscription plan.

Store customer data

Add the person (name, email). Registration with anny is not required.

Set the start date and conditions

Choose a start date and optionally a percentage discount.

Store the payment method

Choose the payment method (offline or online). The customer is informed about the new subscription by email.
Deactivate the notification bell before saving if the customer should not be informed by email.

Handle subscription requests

If Confirmation required is active, you find new requests under SubscriptionsRequested. With a click on the name, you can confirm or decline the membership. The confirmation also triggers the first billing.

Configure subscription notifications

Under Avatar (top right) → Profile & notificationsSubscription notifications, you control which email notifications you receive as an admin about subscription events.

Payment methods for subscriptions

The following methods are available for subscription payments: All methods are active at the same time and cannot be deactivated individually.
TWINT does not support recurring payments via Stripe. For subscriptions in CHF, credit card and PayPal are available instead.

Configure the withdrawal period

For B2C subscriptions, you can set an individual withdrawal period per plan. If customers cancel within this period, they can choose between two options:
  • Immediate withdrawal: The subscription ends immediately. The unused remaining amount is automatically refunded proportionally.
  • Cancellation at the end of the term: The subscription continues until the end of the current period.
In addition, customers can plan a cancellation several months in advance. You find the setting in the options of the respective subscription plan under Withdrawal period. It applies per plan, not globally.
The withdrawal period is especially relevant for coworking and desk-sharing subscriptions taken out online by private individuals.

Transfer a subscription between customers

Admins can transfer an existing subscription from one customer to another customer within the same organization, without having to create the subscription anew.

Open the subscription detail view

Open Subscriptions in the menu bar and click the affected subscription.

Start the transfer

Choose the action Transfer.

Select the target customer

Choose the target customer within the same organization. You can create or edit the person directly if needed.

Confirm the transfer

After confirmation, quotas, subscriber assignment, and community memberships are transferred to the new customer.
The payment method and billing email are not transferred automatically. Check and update these separately after the transfer.

Identity verification for subscription requests (Regpit)

For subscription plans that require identity verification before approval (for example, virtual office subscriptions, mailbox rentals), you can use the Regpit integration. On a relevant subscription request, anny automatically starts a verification process in Regpit. The request is only confirmed once all required data is available and the risk is below the defined threshold. You find more on the setup in the article on the Regpit integration.

Upgrade & downgrade

Within a subscription plan group, customers can switch between plans on their own:
  • Upgrade (plan with a higher position): Takes effect immediately. The remaining amount already paid for the current period is charged proportionally.
  • Downgrade (plan with a lower position): Switches at the next billing date.
When a customer switches within a subscription group, the configured start date and confirmation settings of the target plan do not apply. The switch happens directly.

Multiple subscription plan groups

You can create several groups. This way, a person can have one active subscription in each of several groups (for example, membership + fitness add-on). Each group has separate billing and individual cancellation options.

Examples

A coworking space offers Basic, Premium, and Platinum memberships. Premium members get 5 meeting room hours per month and access to a members-only area.

Create the community

Create a community under CustomersCommunitiesNew+ (for example, “Premium Members”). Assign it the exclusive resources.

Create the quota

Create a recurring duration quota under Booking packagesBooking quotasNew+ (300 minutes/month), restricted to meeting rooms.

Create the subscription plan group

Create three plans (Basic, Premium, Platinum) in one group under Subscription plans. Sort them ascending by value.

Configure the Premium plan

Link the community and the quota in the Premium plan. Set automatic renewal and billing on the 1st of the period.

Check the result

After sign-up, the customer automatically joins the community, receives the meeting room quota, and can book exclusive resources. On cancellation, both are withdrawn automatically.
A studio wants to make signing up as easy as possible for new customers: no login needed, start from the 1st of the following month selectable.

Create the subscription plan

Create a plan under Subscription plans (for example, “Flex Membership”, 49 euros/month).

Activate guest checkout

Activate the option Allow guest checkout in the plan settings.

Activate the option Allow future subscription start.

Set the plan to Live.

Check the result

New customers can take out the subscription without registration and choose a start date in the future. The first billing takes place on the chosen start date.

FAQ

Existing subscribers keep the conditions that applied at the time of sign-up. New sign-ups use the updated price.
SEPA direct debit, credit card, Apple Pay, and Google Pay. All methods are available at the same time and cannot be deactivated individually. Apple Pay and Google Pay can only be used on mobile devices. TWINT does not support recurring payments.
Yes. Under Subscriptions you find all active subscriptions. Via the detail view you can cancel a subscription or resume it at a later point.
Within a group, a person may have only one active subscription (upgrade/downgrade logic). Across multiple groups, a person can have different subscriptions in parallel (for example, membership + fitness add-on).
You can create subscriptions manually in the admin area and mark them as “already paid” (for example, for on-site payment). For self-service sign-up by customers, online payment is required.

Troubleshooting

Check whether you use at least the Essential plan and whether online payment is activated and verified under Account settingsPayments.
The option Allow future subscription start must be activated in the respective subscription plan. The setting applies per plan, not globally.
Check whether the pause was active before the billing date. The pause must take effect before the next billing date to prevent the charge.
