Set up events in anny so dates, capacities and additional resources fit together neatly.
With events you map occasions in anny that have a clear event character: a single date or a few concrete dates, fixed capacities and one distinct occasion. This way you manage booking, room planning and participant administration centrally in one place, and make sure that customers only see the event that is actually available.
To set up events, the feature Multiple availability of resources has to be activated under Organisation > Features.
In anny, a resource represents your event (e.g. “Afterwork Meetup”). The matching service or booking option defines the bookable ticket (e.g. “Event ticket”). Instead of regular opening hours, events work with available dates: one fixed time slot per event date. The core principle: for every available date of a resource, you can link further resources as provided resources (e.g. an event space), which are then blocked automatically for that time.
Create your event as a separate resource. If you want to manage a room or equipment separately, create those as their own resources too.To do so, click Resources in the left menu and +New in the top right.
2
Define the service
Open the Booking option tab of your event resource and create an option (e.g. “Event ticket” or “Workshop participation”) with duration according to schedule.
3
Set up availability
Open the Availabilities tab of the event resource.
Set the quantity to Multiple availability and enter the number of available tickets under Available quantity (e.g. 15).
Scroll to Available dates and click + Add available date.
Under the General tab, set the day and time of your event.
4
Link provided resources (optional)
Open the Settings tab of the available date. Under Provided resources you connect rooms, equipment or staff that should be scheduled for the date and blocked automatically.
5
Check your booking page
Have a look at how everything appears on your booking page. Test the visibility of the available dates and the complete booking process.
Yes. You can add several concrete event dates in the availabilities. What matters is that the offering is meant as an event in terms of content, and not as an ongoing course with recurring session logic.
What happens when my event is fully booked?
As soon as the available quantity is reached, the date is no longer shown as bookable on the booking page. Activate the waiting list, so customers can get notified automatically as soon as a spot frees up.
Can an event be cancelled automatically?
Yes. If you set a minimum number of participants with a cancellation deadline, anny cancels the date automatically when the threshold is not reached by the deadline. All customers who have already registered are notified.
Why is my event not shown on the booking page?
Check whether the date was created correctly in the availabilities and still falls within the booking rules. A capacity limit that has been reached or an expired booking deadline can also mean the event is no longer visible.
Are one-off workshops more like events or courses?
If the workshop is a single date with an event character, an event setup fits. If several sessions, content that builds on each other or a recurring structure are the focus, a course setup is the better choice.
