With certificates you generate personalized certificates, notices or test proofs for your customers directly from a booking. They are sent either automatically after the appointment or manually via the booking details.

How do certificates work?

You define possible results in advance (e.g. “Attended successfully” or “Passed”), design the certificate with your own text and background image, and decide whether it is sent automatically or manually. The process at a glance:
  1. You create a certificate on a service (Certificates tab).
  2. You define result options and design the document.
  3. After the appointment, the result is either published automatically after a configurable delay, or you enter it manually in the booking details.
  4. Customers receive the certificate by email and can access it in their customer profile.
The certificate must be fully created and configured before the service goes live and the first bookings come in. Applying it retroactively to existing bookings is not possible.

When do I use this?

  • You offer training courses or professional seminars: issue statutory or industry-specific proofs with individual credit points.
  • You run workshops or courses: offer attendance confirmations as a professional conclusion.
  • You run an examination center: document test results in a legally sound way and send them automatically.
  • Not suitable for: simple booking confirmations without a result or proof. The standard email templates are enough for that.

Relationship with other features

  • Check-In & Check-Out: the check-in function must be activated on the resource for the Certificates tab to appear in the service.
  • Custom Forms: through additional data fields in the certificate you can collect values that later appear on the document (e.g. “Points achieved”).

Settings & options

You find the settings under Services → select service → Certificates tab → + Add test.
The background image must be in exactly A4 format (210 x 297 mm). Use your company letterhead for a professional appearance.

Practical examples

An institute offers fire safety seminars and needs to record individual credit points per participant on the certificate.

Create the certificate

Open Services → service “Fire Safety Seminar” → Certificates tab → + Add test.

Configure the result and data fields

Enter the name “Fire Safety Attendance Confirmation”. Under Result options, create the value “Attended successfully”. Click + Collect additional data and add a field “Points achieved”.

Design the certificate

Select “Certificate” as the certificate type. Activate Show resource names and QR code for validation. Upload your company letterhead as the background image.

Configure sending and save

Check Notify customer and click Save. After the seminar, enter the points per participant in the booking details and publish the result manually.
A studio wants to send all retreat participants a certificate without manual effort.

Create the certificate

Open Services → service “Yoga Retreat” → Certificates tab → + Add test.

Activate the automatic result

Enter the name “Yoga Retreat Certificate”. Create the result option “Attended”. Activate Automatically published result, select “Attended” as the default and set the delay to “1 day”.

Configure type and sending

Set the certificate type to “Proof”. Activate Notify customer and click Save.

FAQ

No. The certificate must be fully set up before the first booking for this service comes in.
Customers receive an email with a button to access it. Alternatively, they find it in the customer profile under Bookings → filter past bookings → select the booking → Show certificate.
Exactly A4 (210 x 297 mm). Other formats are not displayed correctly.
Yes. Disable the option for the automatic result. Then you set the result per participant manually in the booking details and trigger the sending there.
Yes. In the booking detail view you can resend the certificate at any time.

Troubleshooting

Check two requirements: 1) The Tests & Certificates feature must be enabled under Account settingsFeatures. 2) The check-in function must be switched on for the linked resource (tab: Check-in).
Make sure Notify customer is checked in the certificate settings. For manual certificates: check in the booking details whether the result was actually published.
When Validate download is enabled, customers must enter their date of birth exactly as they stored it at checkout. Check whether the date of birth is correct in the customer profile.
