With recurring bookings, you create an appointment once that repeats automatically at a fixed rhythm. anny turns this into a series with an anchor booking and individual follow-up appointments, checks each appointment for availability, and applies all booking details such as add-ons, additional resources, and price calculation to every single appointment.
The Allow recurring bookings toggle must be activated in the advanced settings of the booking option.

How does a recurring booking work?

anny distinguishes two types of appointment series: This article covers recurring bookings only, where customers set a rhythm themselves. For fixed appointment series with predefined dates, see Booking Series. With a recurring booking, there is an anchor booking that carries the price and the repetition rule, plus one separate appointment per repetition. Each appointment is a standalone booking in the calendar.

The repetition rule

On the booking page, customers set the following parameters:
  • Frequency: daily, weekly, or monthly
  • Interval: for example every week, every 2nd week, every 3rd month
  • Days: weekdays (for example Monday + Wednesday), day of the month (for example “always on the 11th”), or pattern (for example “every 2nd Tuesday of the month”)
  • Appointment duration: duration of each individual appointment
  • End condition: end date or unlimited duration
anny automatically translates the settings into a readable sentence (for example “Every 2 weeks on Monday”), which is shown to customers on the booking page.
An unlimited series is only possible with pay-later. With immediate payment or prepayment, an end date is required.

What is applied per appointment

Each appointment in the series is a full booking and contains:
  • Resource, time range, customer, and price
  • Additional options and add-ons
  • Additional resources (for example equipment booked alongside)
  • Quota consumption (deducted appointment by appointment)
  • Price calculation including discounts and price adjustments
  • Notes, description, and customer notes from the anchor appointment
Add-ons and extra resources only need to be set once and then automatically apply to all appointments in the series.

Availability check and preview

Before booking, anny checks each individual appointment for availability. The preview shows:
  • A list of all appointments with date and time
  • The availability status per appointment
  • A summary such as “12 of 15 appointments available”
Unavailable appointments are not booked. All other available appointments in the series are booked anyway.

Billing

The billing model is set by the admin in the Payments tab of the booking option. For payment by invoice, you can choose the payment mode for recurring bookings: With “Per appointment”, only the next upcoming appointment is billed, not the entire series at once.

Manage a series

Existing series can be adjusted afterwards (for example end date, weekdays). anny reconciles automatically: new appointments are added, dropped appointments are cancelled. anny extends unlimited series automatically in the background, so there are always enough future appointments. When cancelling, three options are available:
  • This appointment only
  • This and all following
  • The entire series

When do I use this?

  • You rent rooms, desks, or equipment regularly to the same customers: Recurring bookings save the manual effort of creating each appointment individually.
  • You offer courses or trainings with flexible repetitions: Customers can set a rhythm themselves and adjust the series at any time.
  • You want to deduct quotas automatically per appointment: With booking packages, the balance is consumed correctly per repetition.
  • Not suitable for: Fixed course series with predefined, connected appointments that must be booked as a block. Use Booking Series for that.

How it connects with other features

  • Additional options: Add-ons are automatically applied to each appointment of a recurring booking.
  • Booking quotas: Quota balance is deducted appointment by appointment, including for add-ons.
  • Booking series: Booking series have predefined, fixed appointments on the offer. Recurring bookings are freely configurable by customers.

Settings & options

On the booking page, customers additionally choose frequency, interval, weekdays, appointment duration, and end condition.

A coworking space wants to let its customers book meeting rooms flexibly and recurrently.

Open the resource

Open the resource you want (for example the meeting room) in resource management.

Create a booking option

Switch to the Booking Option tab and create a new booking option via + Add, for example “Flex Booking”.

Configure the booking type

Choose Flexible booking and set the parameters: min. duration 1 hour, max. duration 8 hours, billing per hour.

Activate recurring bookings

Open the Advanced settings and activate the Allow recurring bookings toggle.

Set the payment mode

Switch to the Payments tab and choose how the appointments should be paid. For payment by invoice, you can set the payment mode for recurring bookings: a) All upfront, b) Per appointment. Here the admin determines whether a combined invoice or a separate invoice per appointment is created.

Troubleshooting

Cause: The offer is configured for immediate payment or prepayment. Solution: Either switch the payment mode to payment by invoice, or ask the customer to set an end date.
Cause: Individual appointments were unavailable at the time of booking (for example due to blockers or other bookings). anny only books available appointments. Solution: Check in the booking preview which appointments were affected, and adjust the repetition rule if needed.
Cause: The quota is deducted per appointment, including add-ons. With long series that have several appointments per week, the balance can be used up quickly. Solution: Check the number of appointments and adjust the quota volume accordingly.
