Connect Urban Sports Club with anny

Synchronize your classes with Urban Sports Club and manage bookings, capacities, check-ins, and status changes centrally in anny.

With the Urban Sports Club integration, class providers such as gyms, wellness providers, and boutique studios can transfer their classes from anny to Urban Sports Club (USC). At the same time, USC bookings, including capacities, check-ins, and relevant status changes, are synchronized with anny.

This helps you keep track of occupancy, avoid overbookings, and manage your USC bookings centrally in your anny system.


Requirements

The USC integration is based on the class planner model in anny.

This means:

  • Classes are set up in anny as resources with available time slots

  • Trainers and rooms are also created as resources

  • These are linked to the respective appointment as provided resources

To ensure that the integration works correctly, the following requirements must also be met:

  • In the integration, the correct category for trainer resources must be assigned, for example Staff or Trainer

  • Room resources must be linked 1:1 with USC locations

  • Optionally, a default trainer and a default room can be defined if these should not be maintained for each individual appointment


Synchronizing appointments with USC

In the integration, you can choose which anny classes should be transferred to USC.

The following rules apply:

  • All appointments within the next 3 weeks are automatically transferred to USC and kept in sync

  • For USC users, only appointments within the next 2 weeks are bookable

  • Once an appointment has been transferred to USC, it can no longer be moved and can only be cancelled

  • If an appointment is cancelled in anny, it is also cancelled in USC and existing USC bookings are removed accordingly


Managing bookings and capacities

The USC integration checks bookings in real time to avoid conflicts between USC and other booking channels.

This means:

  • USC bookings are checked in real time in anny to prevent double bookings and overbookings

  • If bookings are made in anny or through another channel, the available capacity in USC is updated in real time

This ensures that available spots stay synchronized across all channels.


USC bookings in anny

USC bookings are clearly marked in anny and handled separately.

Important details:

  • USC bookings are labeled in anny using the booking option Urban Sports Club

  • This booking option cannot be edited

  • USC bookings cannot be edited in anny

  • USC bookings only include the customer’s name and an anonymized email address

Optionally, a settlement price for USC can be defined in the integration in order to track revenue from USC bookings in anny.


Check-ins, no-shows, and anonymization

Check-ins and relevant status changes from USC are also synchronized with anny.

The following rules apply:

  • A USC check-in is transferred to anny as a check-in and is visible there

  • Cancelled USC bookings and USC no-shows are anonymized in anny according to USC requirements

  • If the USC customer still has another booking in anny, they are not anonymized

  • No-shows are only transferred to anny 1 day after the booking has ended, because USC only provides this information on the following day


Optional capacity management

If you want to manage your capacities more precisely, you can use a quota model for USC.

This allows you to:

  • reserve a certain number of spots per class for anny and other channels so that USC does not use the full capacity

  • automatically release reserved spots at a defined point in time, for example 24 hours before the class starts

This helps you balance occupancy and direct bookings more effectively.


Typical use cases

Reformer Pilates studio

A reformer Pilates studio synchronizes its classes with USC while reserving specific spots for direct bookings through its own website or anny.

Massage studio

A massage studio synchronizes its offers with USC, provided these can be mapped within the existing class planner structure and USC connection.

Which classes can I transfer to USC?

In the integration, you can select which anny classes should be transferred to USC.

How far in advance are appointments transferred to USC?

All appointments within the next 3 weeks are automatically transferred and kept in sync.

How far in advance can USC users book?

USC users can only book appointments that take place within the next 2 weeks.

Can appointments that have already been transferred be moved?

No. Once an appointment has been transferred to USC, it can no longer be moved. It can only be cancelled.

Can USC bookings be edited in anny?

No. USC bookings cannot be edited in anny.

What data does a USC booking include?

USC bookings only include the customer’s name and an anonymized email address.

When do USC no-shows appear in anny?

USC no-shows are transferred on the following day, meaning 1 day after the booking has ended.


Troubleshooting

“An appointment can no longer be moved.”

Check whether the appointment has already been transferred to USC. Once transferred, appointments can no longer be moved and can only be cancelled.

“The capacity in USC does not match anny.”

Check whether bookings have been made in anny or through other channels. Capacity is synchronized in real time, so changes across channels are reflected automatically.

“A USC customer is displayed anonymously.”

This may be correct. Cancelled USC bookings and USC no-shows are anonymized according to USC requirements. The only exception is if the customer still has another booking in anny.

“A no-show is not displayed yet.”

This is expected behavior. USC only provides no-show information on the following day. Therefore, it is shown in anny only 1 day after the booking has ended.
