How does the user management in anny work?
How do I get to the user management?
Click on your avatar (circle in the upper right corner)
Click on Manage Admin Users
Under User administration, you will find an overview of who is allowed to log into your company account and which rights have been assigned. In addition to the name, e-mail address and the date of joining, you can also see in which role the user can manage your site.
Managing a user's authorization
The three dots on the right can be used to adjust a user's authorizations without changing the role globally. In particular, rights for certain resources, services, communities, and maps can also be managed by clicking on the icon on the right; only the selected resource(s) will then be visible, the user has no rights for all unselected resources:
Here you will find an explanation of the rights and roles
Invite User
Besides the active users, you also have the possibility to send an invitation to other people by e-mail.
click +invite
Fill in name and email
Assign role
Send invitation
Pro-tip: By clicking on Manage authorizations, you have an overview of all authorizations of the user to be invited; they can already be set here, as in the previous chapter Manage user authorizations.
You can find an overview of open invitations on the same page and edit them at any time.
This is the invitation your team member receives:
Pro-tip: You can also see when an invitation was sent and how long it is valid. The invitation can also be withdrawn via this view. Have you added a new admin to your user management and want to onboard them in anny? Find the onboarding guide here.
Invite a User in the resource overview
In the resource overview, admins can be invited for selected resources directly via the three dots, where the e-mail address and a role plus specific rights can then be entered.
How can I create and assign roles in anny?
It is important to you that there are different user roles for your anny site? We have preset examples like Admin or Staff.
However, you can also create roles yourself and determine very precisely which rights certain user groups have. For this you go under:
User administration
click +New role
Fill in the form
Settings primarily for (Super) Admins
The (Super) Admin is a user whose role has the "Manage" permission level for all areas of anny. Since this level automatically includes all other rights such as View, Create, Edit, and Delete, the (Super) Admin has unrestricted control and can change every setting and data record in the account without exception.
We recommend a maximum of 1-2 (Super) Admins per account. Furthermore, we recommend that all account-wide settings, including user management, integrations, webhooks, and automatic exports and imports, are managed solely by this role.
Resource-Specific Admin (Editing Access)
This role is ideal for department heads or managers who should only manage a specific selection of resources (e.g., their department's conference rooms or a fleet of company vehicles) without having access to other areas of the system.
Bookings Role (Read-only Access)
This role is perfect for employees at the front desk, in facility management, or for security personnel. They need an overview of current and future bookings but should not be able to make any changes.
