This article shows how to configure visitor management in anny with the check-in app

Configuration of the resource for visitor management

These resource settings are mandatory for visitor management:

  • Create resource(s) with the category building and use Building or Floor as resource name. (General information)

  • The availability should be set to multiple, the available number dictates the number of visitors checked in at the same time. (Availability)

  • All bookings must be accepted automatically. (Settings)

  • Activate the check-in. (Check-In)

Important: Name/description etc. should be created in all languages that are to be shown on the display. (General information)


Configuration of the booking option for visitor management

These booking option settings are mandatory for visitor management:

  • The booking option must be free of charge. (Settings > Price)

  • All bookings must be accepted automatically (Settings > Advanced settings)

  • Do not select any additional options

The duration of the booking option can be either fixed (e.g. consultations) or flexible (e.g. visits from family/friends).

Pro tip:The basic settings of a booking option fulfill these criteria, optionally a service-specific schedule can be created


Important: Name/description etc. should be created in all languages that are to be shown on the display. (Settings)

Form settings:

  1. Allow the query of the host (mandatory)

  2. You can now determine how much of the results list should be displayed in the app:

    • Full name

    • Department

    • Profile picture


Determine the host(s)

Create a community containing all the people who can be hosts, i.e., who want to/can receive visitors. This community should be linked to the service via the access.


Setting the terminal

There are two options for visitor management in the check-in app:

  • Option 1: Only pre-registered guests can check in (mode: Check-in)

  • Option 2: Pre-registered guests and spontaneous guests can check in (mode: personalized registration + check-in)
