What changes with this feature?
For customers:
They can book by phone and receive an immediate confirmation via SMS.
They do not have to provide an email address – the mobile number is sufficient.
Existing customers are automatically recognized and greeted personally.
They can access their existing allowances, community resources, and booking packages.
For admins:
Bookings via anny AI appear like regular bookings in the system.
A "wrong" booking that would not have been possible via the booking page can never occur – anny AI checks the same rules.
Multiple bookings can be added to the cart in one conversation.
Important: The email address is optional for phone bookings. What matters is the caller's mobile number. The booking confirmation is sent free of charge via SMS to this number.
How the booking process works
The caller states their request (e.g., "I would like to book an appointment for tomorrow at 2 p.m.").
anny AI knows your resources and booking options and checks availability – just like on the booking page.
anny AI calculates the price and tells it to the caller.
If a form with additional details is stored (custom fields), anny AI requests these in full.
The completion of the booking depends on the payment configuration:
For payment on-site or free bookings: The booking is completed directly and confirmed via SMS.
For online payment or legal documents (e.g., terms and conditions confirmation): anny AI sends a checkout link via SMS. The caller completes the payment or confirmation via this link.
Tip: If you have configured online payment, we additionally recommend activating the "Payment on-site" option. This way, the booking can also be completed entirely over the phone without the need for a checkout link.
Person recognition and customer account
Callers are automatically recognized via their mobile number, provided it is maintained as a customer in anny. Recognized customers benefit from:
Personal greeting by name
Access to existing allowances and booking packages
Insight into community resources (protected booking options)
Ability to cancel existing bookings
Retrieval of calendar appointments
Note: For recognition to work, the mobile number must be stored in the customer profile in anny.
Additional booking functions
Redeem vouchers – Callers can state voucher codes that anny AI applies directly.
Subscriptions and booking packages – anny AI recognizes existing packages and can use their allowances. New subscriptions and packages can be completed via a link.
Multiple bookings – Several appointments can be added to the cart in one conversation.
Cancellation – Recognized customers can cancel existing bookings.
Important: Changing an existing booking (e.g., rescheduling) is currently not yet possible via anny AI. For this, the booking must be canceled and created anew.
Error tolerance and security
anny AI can make mistakes during the conversation – for example, misunderstanding a date. In such cases, the assistant corrects itself independently. Regardless, the following applies: A booking that could not have been made via the regular booking page can never occur. All availability, prices, and rules are checked in real time against your anny system.
Practical Example: Booking a consultation appointment
Caller: "I would like to book a consultation appointment with Ms. Schmidt for tomorrow."
anny AI checks Ms. Schmidt's availability for tomorrow, states available times and prices, requests the details stored in the form (e.g., concern, name), and completes the booking. The caller receives an SMS confirmation with the booking details.
Practical Example: Booking with Online Payment
Caller: "I would like to book the yoga class on Saturday."
anny AI confirms availability and price (e.g., €25). Since online payment is configured, anny AI sends a checkout link via SMS. The caller opens the link, pays, and receives the confirmation.
