What Does This Feature Change?
For customers:
They can book by phone or chat and receive an instant confirmation via SMS (phone) or directly in the chat.
They do not need to provide an email address – their mobile number is sufficient for phone bookings.
Existing customers are automatically recognized and greeted personally.
They can access their existing quotas, community resources, and booking packages.
For admins:
Bookings made through anny AI appear as regular bookings in the system.
An "incorrect" booking that would not have been possible through the booking page can never occur – anny AI checks the same rules.
Multiple bookings can be added to the cart in a single conversation.
Important: The email address is optional for phone bookings. What matters is the caller's mobile number. The booking confirmation is sent free of charge via SMS to that number.
How the Booking Process Works
The customer states their request (e.g., "I'd like to book an appointment tomorrow at 2 PM").
anny AI knows your resources and booking options and checks availability – just like on the booking page.
anny AI calculates the price and communicates it to the customer.
If a form with additional fields is set up (custom fields), anny AI asks for all required information.
The booking is completed depending on the payment configuration:
For on-site payment or free bookings: The booking is completed immediately and confirmed via SMS or directly in the chat.
For online payment or legal documents (e.g., terms & conditions confirmation): anny AI sends a checkout link via SMS or chat message. The customer completes the payment or confirmation through this link.
Tip: If you have online payment configured, we recommend also enabling the "on-site payment" option. This way, the booking can be completed entirely by phone or chat without requiring a checkout link.
Person Recognition and Customer Account
Customers are automatically recognized by their mobile number (phone) and/or upon signing in (chat), provided they are stored as a customer in anny. Recognized customers benefit from:
A personal greeting by name
Access to existing quotas and booking packages
Visibility of community resources (protected booking options)
The ability to cancel existing bookings
Retrieval of calendar appointments
Note: For phone recognition to work, the mobile number must be stored in the customer profile in anny.
anny AI Chat: Visibility and Access Rights
The chat strictly follows the access rules you have defined for your organization and booking page:
Community requirement: If your organization requires a community membership and is blocked for guests, the chat is also not visible to external guests.
Members-only bookings: If resources are only bookable for members, a guest can see the chat and filter resources or ask questions – but cannot complete a booking.
Platform visibility: Community members see the chat everywhere: on the homepage, on the planner page (on the web and in Microsoft Teams (optional)), and on the explore page.
Multiple organizations: If a user is a member of multiple organizations that use anny, the chat first asks which organization they would like to chat with when opened. The AI only ever processes bookings for the currently selected organization.
The AI's features automatically adapt to the user's login status:
Guest users: The AI answers knowledge questions, checks availability of public resources, and carries out bookings for public resources.
Signed-in users: The AI can additionally book community resources, view the user's own booking history, edit or cancel existing bookings, search for people in the community, and send invitations.
Additional Booking Features
Redeem vouchers – Customers can provide voucher codes, which anny AI applies directly.
Subscriptions and booking packages – anny AI recognizes existing packages and can use their quotas. New subscriptions and packages can be purchased via a link.
Multiple bookings – Multiple appointments can be added to the cart in a single conversation.
Cancellation – Recognized customers can cancel existing bookings.
Important: Modifying an existing booking (e.g., rescheduling) is not yet possible through anny AI. To do so, the booking must be canceled and a new one created.
Error Tolerance and Security
anny AI can make mistakes during a conversation – for example, misunderstanding a date. In such cases, the assistant corrects itself automatically. Regardless, a booking that could not have been made through the regular booking page can never occur. All availability, prices, and rules are checked against your anny system in real time.
Practical Example: Booking a Consultation
Customer: "I'd like to book a consultation with Ms. Schmidt for tomorrow."
anny AI checks Ms. Schmidt's availability for the next day, suggests open time slots and prices, asks for the information required in the form (e.g., subject, name), and completes the booking. The customer receives a confirmation with the booking details via SMS or directly in the chat.
