Maintain your anny AI assistant's knowledge base so that it answers questions competently and draws on current information.

Your anny AI assistant accesses a knowledge base to answer callers' questions. This knowledge base is automatically populated with information from your website during the initial setup. You can supplement, update, or expand it with your own FAQ entries at any time.


Who is this feature for?

Knowledge management is relevant for all admins who:

  • want to have frequently asked questions answered automatically

  • want to ensure that anny AI provides correct and up-to-date information

  • want to provide specific knowledge that is not on the website

  • want to improve the quality of their assistant's answers


What happens during initial setup?

When anny AI is activated, your website is automatically scanned. The assistant is thereby provided with all the information already available on your website and its subpages. This means:

  • Opening hours, prices, offers, and frequently asked questions are recognized and stored as knowledge.

  • You don't have to enter everything manually – the assistant is already conversational right after setup.

Important: If your website contains outdated or incorrect information, anny AI will adopt this as well. Therefore, check your website for accuracy before setup.


Where to find knowledge management

  1. Navigate to Organization Settings > anny AI.

  2. Click on Manage Knowledge.

Maintaining frequently asked questions

You can manually create question-answer pairs that your assistant draws on for matching inquiries.

How to add an FAQ entry:

  1. Open Manage Knowledge.

  2. Click on Add Entry.

  3. In the Question field, enter the question as callers would typically ask it.

  4. In the Answer field, enter the complete information the assistant should provide.

  5. Save the entry.

Tip: Phrase questions the way real callers would ask them – naturally and colloquially. The assistant also recognizes similar phrasings.


Importing entries

You can import multiple entries at once to save time:

  • CSV or Excel import: Prepare a table with Column 1 = Question and Column 2 = Answer. Upload this to import all entries at once.

Note: Make sure each row contains a complete entry (a clear question and a complete answer).


Activating web search

In addition to the maintained knowledge base, anny AI can search your website when needed to find current information.

How to activate web search:

  1. Open your assistant's configuration (Organization Settings > anny AI > Configure).

  2. Navigate to your assistant's Tools.

  3. Activate the Web Search tool.

  4. Restrict the search to your own website domain.

Important: We recommend restricting the web search to your own website. This ensures that anny AI only uses verified information from your source.

The assistant scans your website including all subpages and can provide callers with information available there – even if it has not been explicitly stored as an FAQ entry.


Best practices for good knowledge management

  • Clear wording: Write questions the way callers actually ask them. Use simple, natural language.

  • Complete answers: Provide all relevant information in the answer – prices, times, conditions.

  • Regular updates: Keep the knowledge base up to date. Change entries when prices, times, or offers change.

  • Identify gaps: Use the conversation logs to identify questions that the assistant could not answer or answered inadequately. Add corresponding entries.

  • Keep website current: Since anny AI uses your website as a source of information, updates there directly affect the quality of the answers.


FAQ

Do I have to enter all information manually?

  • No, your website is automatically scanned during initial setup. You only need to add information that is not on your website or is outdated there.

Can anny AI search for information on the internet?

  • Only if you activate web search and restrict it to your own domain. anny AI does not search the entire internet.

How many FAQ entries can I store?

  • There is no fixed limit. The more relevant entries you maintain, the better anny AI can answer questions.

What happens if anny AI cannot answer a question?

  • The assistant informs the caller that it cannot answer the question and, depending on the configuration, offers to transfer to an employee.
