(Automatic) Exports in anny

How to export bookings, orders, customers & more in just a few clicks – as a one-time export or on a recurring basis.

With the export function in anny, you can export your data in a structured and simple way – either directly or automatically at scheduled intervals. Whether it's bookings, invoices, customer lists, orders, or discount codes – you can generate an export tailored to your needs with just a few clicks.

In this article, we'll show you how to create and configure exports manually or automatically.


What can be exported?

In anny, you can create exports for the following data sets:

  • Bookings

  • Orders

  • Invoices

  • Customers

  • Vouchers

  • Booking codes

Export Options

Depending on how you prepare your data before exporting, you can choose exactly which content will be included in the export.

  • Current View: Only the data currently visible on the page will be exported – based on your applied filters and customized column view.

  • All Columns: Exports all available data fields – regardless of your current view.

💡 Pro Tip: Set up meaningful filters and customize your column view using the ⚙️ gear icon before exporting. That way, with "Current View", you’ll export exactly the data you need – no need for later adjustments!

You can also select custom forms from the checkout process or add-ons from your booking options.

Export Format

For all exports, you can choose between the following formats:

  • .csv

  • .xlsx (Excel files)

Direct vs. Scheduled Export

In anny, you can choose between a manual one-time export or a regularly scheduled automated export.

  • Direct Export: Use the export button on the respective page (e.g. bookings, invoices, etc.) to trigger an immediate export.

  • Scheduled Export: Use "Schedule Export" to set up an automated export that gets sent to you or others at a defined time on a recurring basis.

Overview of all (automatically scheduled) Exports

Would you like to see a summary of all created exports or manage your automatic exports? Simply navigate to the export overview via the Export button. To access an overview of all automatically scheduled exports, click the Automatic Exports button.


Setting Up an Automatic Export

Want to work with an external catering service provider and need a regularly updated overview of booked add-ons such as drinks or finger food? No problem! With an automatic export, this becomes very simple. Just follow this step-by-step guide:

Create Add-Ons for Catering

  • Navigate to the resource you want to edit (e.g., conference room, event space).

  • Open the booking option for which you'd like to offer catering.

  • Go to the Add-ons tab.

  • Create one or more options – for example: drinks, finger food, or buffet.

  • Assign the options to the Catering group.

  • Optional: You can also define a lead time, e.g., “must be booked 2 days in advance.”

  • Save the booking option.

Planning the Automatic Export

  • In the left-hand menu, select Bookings.

  • Click on ExportSchedule Export at the top right.

Configure the Export

You’ll now be guided through the automatic export configuration process:

  1. Assign a name: Give your export a clear name, e.g., “Daily Catering Requests.”

  2. Set export interval: Choose how often the export should take place:

    1. Interval

      1. Daily

      2. Weekly

      3. Monthly

  3. Define time & data range:

    • Choose the time of day when the export should be created and sent.

    • Define the time period the export should cover, e.g., "last 24 hours", "last 7 days", etc.

  4. Select export content:

    1. Choose the type of data you want to export:

      1. Bookings – Ideal for catering overviews

      2. Other possible types: Customers, Orders, Vouchers, Invoices, Booking Codes

  5. Choose export format: CSV or Excel (.xlsx)

    1. You can export all columns or only specific (configured) ones.

    2. Select Configured Columns → click Edit

      1. Add only the columns you need, e.g.: Booking Number, Time Period, Resource, Catering

  6. Set Export Destination

    1. Click +Create

    2. Enter a suitable name for the destination, e.g., “Catering”

    3. Choose the destination type:

      → Email
      → FTP (e.g., for delivery to a server)
      → Implicit FTP or S3 (e.g., for cloud storage)

    4. Fill in necessary details such as email address or server credentials.

  7. Save & Review

Your automatic export is now visible in the overview. From now on, the export will be generated automatically at the selected interval and sent to the chosen destination. You’ll now receive up-to-date information on catering add-ons on a regular basis – convenient, reliable, and always current.


Use Cases for (Automatic) Exports

Booking Export

  • Room bookings with catering (export add-on groups)

  • All bookings from the past week with status = confirmed

Customer Export

  • Customer list from the last 30 days (e.g., for marketing purposes)

Vouchers (Discount or Booking Codes)

  • List of all discount codes used last month

  • Which codes were redeemed most often?

Orders

  • Best-selling equipment from the last quarter

  • Export only paid orders

Invoices

  • Filtered invoice status (e.g., only “open”)

  • Analysis: Total revenue from the past month
