Booking bundles & Booking codes

Use booking codes and booking bundles to offer quotas for certain resources.

This feature lets you create bookable packages and gift certificates that your customers can purchase and redeem later using a booking code. This feature is primarily useful for generating advance revenue, building long-term customer loyalty, or allowing your services to be given as gifts. You can choose between specific service packages (e.g., a 10-visit pass) and monetary gift certificates (e.g., €50).


Who is this feature intended for?

This feature is meant for all providers who offer paid bookings and want to make their offerings more attractive through vouchers or streamline their cancellation processes.

  • Gyms that want to sell 10-time passes.

  • Massage or beauty salons that offer gift certificates with fixed amounts (e.g., €50) or customizable amounts.

  • Service providers who, in the event of a cancellation, do not refund the amount paid but instead want to give the customer a credit toward the next booking.


What changes with booking packages and gift certificates?

  • For customers: A new "Packages" tab will appear on your organization's booking page. Here, they can purchase vouchers and receive an 8-digit booking code. In the event of a cancellation (if you have configured this option), they will automatically receive the refund amount as a code via email.

  • For admins: You manage all sold vouchers centrally. When a code is redeemed, if applicable, the system automatically applies the value toward the price of the current booking.

  • Important: The tax display changes significantly depending on the voucher type you select. Always check in advance which mode you need (see logic).


How do you activate booking bundles

  1. Tap on your avatar at the top right

  2. Go to your account settings

  3. Select the Features tab

  4. Activate booking bundles

Note: Booking quotas, needed for this feature to work, are available from the Professional plan onwards.


Here's how the logic works

The system distinguishes between two basic voucher modes. The one you choose determines the taxation and the method of redemption:

  • Mode A: Booking Package (Earmarked) This is a specific service allocation (e.g., 10 room rentals). Sales tax is shown directly at the time of purchase. When the code is redeemed later, it technically functions as a price reduction (discount) on the booked service.

  • Mode B: Gift Certificate (Multi-Purpose Voucher) This is a pure monetary value that can be used flexibly. You have two options here: Either you set a fixed amount (e.g., exactly €50) or you allow a custom amount (the customer chooses the value themselves, optionally with a minimum amount). At the time of purchase, 0% VAT is shown. The voucher can later be redeemed as a payment method. The correct sales tax is only shown on the final booking.

Additional logic: Cancellation as a credit voucher If you link a credit voucher (Mode B) to your cancellation policy, anny automatically converts the cancellation value into a booking code. Important: This only works for invoices that have already been finalized. Booked add-ons (additional options) are fully included in the voucher value.


Setting up booking bundles, booking codes, and vouchers

How do I set up booking bundles?

  1. After activating the feature:

    Click on Booking bundles in your navigation bar on the left-hand side in the admin site

  2. Click on New+ at the top right and give the booking bundle a name

  3. Add important information such as price, expiry period, tax rate and a detailed description

  4. Link an existing quota or click on New + under Booking quotas. You can find more information on creating booking quotas here.

  5. If required, add legal documents that are to be accepted or signed by the customer when booking at the check-out.

  6. Enable your booking bundles. You can do this in the admin area via the three dots. After going live, the customer can purchase the booking bundle on the booking page under the "Booking bundles" tab. You can find a preview of this in the admin area.

Pro tip: In the account settings, you can determine whether booking bundles are displayed as a standard tab on the booking page. With default-list="packages", the view can also be embedded independently on your own websites.

How do I set up booking codes?

Booking codes are 8-digit codes that can be redeemed by customers to redeem booking bundles

  1. After activating the feature: create a booking bundle as described here.

  2. Select the desired/created booking bundle

  3. Enter a customer for the booking code.

    In this step, you can also select whether the invoice should be finalized and / or whether the invoice has already been paid.

Finalize invoice = invoice is finalized and sent to the customer by e-mail for online payment

Invoice already paid = invoice has already been paid, e.g. on site and only the invoice is sent to the customer but is already set to paid (no online payment)

Booking code without invoice/ invoice in draft = deactivate/ do not select finalize invoice.


You can also enter the expiration date of the booking code here. The default setting is two years, or the validity of the bundle.

Pro tip: Before saving, you can deactivate the bell at the bottom if the customer should not be notified by email.

When the booking code is created, it is now listed in the overview and can be exported or filtered if required.

How do I set up vouchers?

You want to offer gift cards. Customers should be able to either purchase a fixed amount of €50 or enter their own amount.

  1. Go to Booking Packages and click New +.

  2. Select the Value Voucher mode and enter a name, e.g., "50x Voucher" or "Kanu Voucher (value of your choice)."

  3. Make a choice: Either enter a fixed default amount (e.g., €50) or enable the custom amount option by entering a default amount (€200) and a minimum amount (€15).

  4. Klick Save.

  5. Set the package to Live using the three dots. Result: Customers purchase the gift card on your site. The purchase invoice shows 0% sales tax, since the tax is not calculated until the gift card is actually redeemed for a service.

Pro Tip: In the Account Settings, you can choose whether booking packages are displayed as the default tab on the booking page. Using default-list="packages", you can also embed this view on your own websites independently of that setting.


Troubleshooting

"Customers cannot enter an amount of their choice."

Check to see if you've set the mode in the package to Value Voucher (Multi-Purpose Voucher). This is the only place where you can configure the option for custom amounts. Also, make sure that customers access the offer via the parent organization page.

"The sales tax is missing from the invoice for the voucher sale."

This is an expected behavior when you use the Value Voucher (Multi-Purpose Voucher) mode. No VAT is charged at the time of purchase. The tax is not calculated until the voucher is redeemed as a payment method.
