How to set the advance booking period

Setting the advance booking period: instructions, ad- and disadvantages, and recommendations for meeting rooms, workspaces and study areas

The advance booking period determines how far in advance customers can book appointments for a resource.

How to set it:

  1. Go to Resources and open the desired resource

  2. Go to Booking Options and select Edit

  3. Click on Advanced Settings and enter the number of days in advance that bookings can be made

  4. Save

A short advance booking period increases flexibility, reduces long-term no-shows and keeps calendars up to date, but limits planning for users and can prevent early bookings. A long advance booking period offers a high degree of planning security and early utilisation, but tends to lead to rebookings/cancellations, longer blockages and more complicated adjustments.

Recommendations (general context)

  • Meeting and conference rooms: approx. 365 days or longer

  • Workspaces: approx. 14–30 days

  • Study spaces: approx. 7–10 days
