# Connect Zoom with anny

> Automatically create a Zoom meeting for every booking and share the invite link with your customers.

[Zoom](https://zoom.us) is one of the best-known video conferencing services. With the integration, anny automatically schedules Zoom meetings for your bookings and distributes the invite links, without you having to create appointments in Zoom manually.

With Zoom you can, inside anny:

* Automatically create a Zoom meeting for every booking of a resource
* Automatically distribute the join link, meeting ID, and password to your customers
* Decide per resource which Zoom user hosts the meeting

The integration is worthwhile for anyone who runs appointments online, for example consultations, coaching, office hours, or online courses.

## Typical use cases

## How the Zoom connection works

The connection is established via the Zoom login: in anny you click **Authorize**, sign in to Zoom, and allow anny access to your Zoom account. An API key is not needed. With **Test connection** you can check at any time whether the connection is in place.

anny accesses only two things: the user list of your Zoom account (for choosing hosts) and the meetings anny itself creates for bookings. Existing meetings and settings of your Zoom account remain untouched.

Here is how it works for a booking:

1. A booking comes in for a linked resource.
2. anny creates a scheduled Zoom meeting for the stored **meeting host**. Title, start, and duration come from the booking, the time zone from the resource.
3. Customers receive the join link automatically: as a **Join Zoom meeting** button in the booking email (including Zoom ID and password), in the calendar entry, and in the booking details. Logged-in team members see **Start Zoom meeting** there instead.
4. If the booking is rescheduled, anny updates the meeting. If it is cancelled, declined, or deleted, anny also deletes the Zoom meeting.

If you revoke the authorization or it expires, anny can no longer create, update, or delete meetings. In that case, the people responsible in your organization receive the email "The Zoom integration has an error" and you have to sign in again via **Authorize**.

## Connect Zoom

### Requirements

Before you connect Zoom, make sure you have the following:

* An active Zoom account with the users who should host meetings
* The permission to authorize apps in this Zoom account
* Admin rights in your anny account

### Set up the connection

    Open **Integrations** from the menu bar, add the Zoom integration, and click **Authorize** in the **Authentication** section. Sign in to Zoom and confirm the access for anny. With **Test connection** you check whether sign-in was successful.

    In the **Zoom settings**, define which resources get meetings:

    1. Click **Add** to create a new Zoom connection.
    2. Under **Choose the resource**, select the resource (for example, Consultation Room 1).
    3. Optional: limit the connection to specific booking options via **Select booking options**. Without a selection, it applies to **All booking options**.
    4. Under **Choose the meeting host**, select the Zoom user for whom the meetings are created.
    5. Confirm the connection and repeat the steps for further resources.

Once the integration is active, anny automatically creates a Zoom meeting for every new booking of a linked resource and distributes the links.

<Tip>
  Test the integration with a test booking: book a linked resource and check whether the booking confirmation contains the **Join Zoom meeting** button and whether the meeting appears in the host's Zoom account.

### Settings & options

| Meeting host    | The Zoom user from your account for whom the meetings are created. This person can start and manage the meetings in Zoom.                                 |

<Tip>
  The Zoom connections can only be edited while the integration is deactivated. Turn the **toggle** off briefly before making changes, then back on.

## Limitations

The Zoom integration does not support:

* **Inheritance to sub-resources:** A Zoom connection applies only to the chosen resource. Bookings of its sub-resources get no meeting; connect sub-resources individually.
* **Meetings for existing bookings:** When you activate the integration, no meetings are created retroactively for bookings that already exist.
* **Meeting options from anny:** anny only sets the title, time, duration, and time zone. Password, waiting room, and other options are determined by the settings of your Zoom account.
* **Meeting reminders:** anny does not send separate reminder emails before the meeting starts.
* **Meetings for blockers:** Internal blocker bookings never get a Zoom meeting.

## Disconnecting

<Warning>
  If you deactivate the integration, anny no longer creates new meetings. Existing Zoom meetings remain, but are no longer updated or deleted, even if the associated booking is rescheduled or cancelled. When you delete it, a dialog opens with instructions on how to also remove the anny app from your Zoom account (Zoom Marketplace), or you choose **Remove from anny only**. Already created meetings remain in your Zoom account. If you uninstall anny directly in the Zoom Marketplace, the integration is also removed automatically in anny.

You can do both under **Integrations**: deactivate via the **toggle** in the top right, delete via the **three dots** → **Delete**.

## FAQ

    Automatically from anny: the booking email contains the **Join Zoom meeting** button along with the Zoom ID and password. The link is also in the calendar entry of the booking and in the booking details.

  <Accordion title="Who is the host of the meeting?">
    The Zoom user you stored as the **meeting host** in the Zoom connection. They start the meeting via the **Start Zoom meeting** link in the booking; customers join via the join link.

  <Accordion title="What happens when a booking is rescheduled or cancelled?">
    For a reschedule, anny automatically updates the Zoom meeting to the new time. If the booking is cancelled, declined, or deleted, anny also deletes the Zoom meeting.

  <Accordion title="Can I have meetings created only for specific booking options?">
    Yes. In the Zoom connection, select the desired booking options under **Select booking options**. Without a selection, the connection applies to **All booking options**.

    The Zoom connections are locked while the integration is active. Deactivate it briefly via the **toggle**, make the changes, and activate it again.

## Troubleshooting

  <Accordion title="No Zoom meeting was created for a booking">
    Usually a matching Zoom connection is missing or the integration was deactivated at the time of booking. Check whether the **toggle** is active, whether a Zoom connection exists for the booked resource, and whether the booked booking option is selected in the connection. Note: sub-resources need their own connection.

  <Accordion title="The meeting link shows 'Meeting not ready yet'">
    The meeting has not yet been fully created at Zoom, for example right after the booking or because the connection was disrupted. Wait a moment and open the link again. If the message persists, check the integration with **Test connection**.

  <Accordion title="I received the email 'The Zoom integration has an error'">
    The authorization has expired or was revoked; anny can no longer manage meetings. Open the integration under **Integrations** and sign in to Zoom again via **Authorize**.

    The user list is cached for a few minutes. Wait a moment and reload the page. Also check whether the person is set up in the connected Zoom account; you can also search by email address in the selection.

> Important information for agents:
>
> **Distinction:** Zoom is one of the video meeting integrations (category "Online meeting integrations") alongside MS Teams, PurpleView, and the video calls built into anny. Zoom creates only scheduled individual meetings per booking: no webinars, no recurring meetings, no calendar sync.
>
> **UI paths:** Setup: menu bar → **Integrations** → Zoom → panel "Authentication" → button "Authorize" (OAuth login at Zoom), button "Test connection". Rules: panel "Zoom settings" → "Add" → modal "Create Zoom connection"/"Edit Zoom connection" with fields "Choose the resource", "Select booking options" (placeholder "All booking options"), "Choose the meeting host" (search by email). Table columns: "Resource", "Booking options", "Meeting host". Delete dialog: "How to remove anny from your Zoom account" (Zoom Marketplace → Manage → Installed Apps → Uninstall) with option "Remove from anny only".

> **Quirks:** (1) Meetings are created already when the booking comes in, even for unconfirmed requests; on decline, cancellation, expiry, or deletion the meeting is deleted. (2) For resources with capacity > 1 (without sub-resources), all bookings with identical start and end share one meeting; it is deleted only with the last booking. If one of these bookings is rescheduled, it gets a new meeting of its own and anny additionally sends the emails "Zoom meeting for your booking" (customer) and "Zoom meeting created" (team); normally there is no separate meeting email, the link sits in the booking confirmation. (3) If a booking's resource changes, the old meeting is deleted and recreated after connecting the new resource. (4) Meeting title = default booking label (resource/booking option/customer); time zone of the resource. (5) Join and start links are anny redirects (not the raw Zoom URLs); the raw link can be copied from the booking details. As long as the meeting is missing, the redirects return the error "Meeting not ready yet". (6) Failed meeting actions are retried up to 3 times. (7) User list cached about 10 minutes, individual users up to 1 hour. (8) After activation, meetings for older bookings are created only when those bookings are edited. (9) While the integration is deactivated, meetings are not deleted even on cancellation; this is not caught up after reactivation.

> **Relationships:** Enabled via the same plan feature as all video meeting integrations (MS Teams, PurpleView, anny Video Calls); plan assignment not documented in the article. The "meeting host" assignment uses the user list of the Zoom account connected via OAuth; loss of authorization triggers the email "The Zoom integration has an error" to the responsible people. If the anny app is uninstalled in the Zoom Marketplace, anny deletes the integration automatically (deauthorization webhook).
