# Connect Tapkey with anny

> Grant app access for your Tapkey locks automatically on every booking and skip the key handover.

[Tapkey](https://www.tapkey.com/) is a smart lock system that controls door locks via a smartphone app. With this integration, anny automatically grants access rights in the Tapkey app on bookings, so customers can open the lock during the booked period.

With Tapkey, you can do the following in anny:

* Automatically create booking-based access with time before and after the booking
* Link multiple locks to one resource (or the other way around)
* View the access status directly in the booking

The integration is especially handy for small coworking spaces and offices that want to offer their customers keyless access via app.

## Typical use cases

## How the Tapkey connection works

The integration uses OAuth: you sign in with your Tapkey owner account and authorize anny to grant and remove access rights for your locks. anny creates an authorization in the Tapkey Cloud on every booking, which is assigned to the customer via their email address.

Customers then open the lock via the Tapkey app. No separate access link and no PIN are sent.

If you revoke the authorization in your Tapkey account, anny loses access. You then have to authorize the integration in anny again.

For single bookings, the access is created immediately. For recurring and series bookings, anny schedules the access per appointment about 48 hours in advance. Until then, it stays in the status **Scheduled**.

## Connect Tapkey

### Requirements

Before you connect Tapkey, make sure you have the following:

* A Tapkey owner account with at least one lock set up
* The lock is registered in the [Tapkey admin area](https://my.tapkey.com/) and online
* anny Professional plan or higher

### Set up the connection

    Open the **Integrations** from the menu bar and go to **Tapkey**. Click **Authorize** and sign in with your **Tapkey owner account**. This grants anny permission to manage access rights for your locks.

    Set up your owner accounts and rules:

    1. Use **Add owner account** to select the Tapkey owner account you want to create rules for
    2. Under **Select time zone**, check which time zone Tapkey uses for the access periods
    3. Click **Add rule** to create a new rule
    4. Select the **resource** that should grant access on booking
    5. Under **Select cylinder**, select one or more locks
    6. Define **Access before the booking** and **Access after the booking** (minutes before and after the booking)

Once the connection is active, access rights are created automatically on new bookings and removed on cancellations.

  You can link multiple locks to one resource or one lock to multiple resources. Edit existing rules directly in the list. To delete a rule, use the delete icon next to it and confirm.

## Booking process for customers

Here is how your customers experience the integration:

    Customers sign in to the **Tapkey app** with their email address. There they see which locks they have access to and for which time windows. A tap on the lock opens the door.

  Customers need the Tapkey app (iOS/Android). The download link can be included in the booking confirmation.

## View access in the admin area

In the **Smartlock access** section of a booking, active and inactive access is shown. Click an access to view details such as **Access starts on**, **Access ends on**, **Door lock** and **Created on**:

| In progress | The access was requested by anny but not yet confirmed by the locking system                                 |
| Scheduled   | Creation is scheduled (series and future appointments); the access is created shortly before the appointment |
| Successful  | The access is active and customers can open the lock within the defined period                               |
| Failed      | The access could not be created, for example because a limit has been reached                                |
| Removed     | The access was removed by the system or a person                                                             |

  Via the **three dots** in the access detail view, you can open the access directly in Tapkey via **Show access at provider** or navigate to the settings in anny via **Integration settings**.

## Limitations

The Tapkey integration does not support:

* Remote Open (opening the door directly from within anny): customers open the lock exclusively via the Tapkey app
* Community access: access is granted exclusively based on bookings, community members receive no automatic access
* Access link by email: access works exclusively via the Tapkey app, not via a browser link
* More than ten simultaneous authorizations per lock: Tapkey locks manage a maximum of ten simultaneous authorizations. Once the limit is reached, anny cannot create another one. Authorizations you created yourself in Tapkey count too.

## Disconnect

  If you want to keep existing access credentials but stop new ones from being created, deactivate the integration. If everything should be reset and deleted, delete the integration.

You can do both under **Integrations**: deactivate via the **toggle** in the top right, delete via the **three dots** → **Delete**.

    You can find all compatible locks in the [Tapkey shop](https://shop.tapkey.com/de/products/tapkey-smart-lock). Tapkey offers retrofittable smart lock cylinders that can be installed DIY.

  <Accordion title="Do customers have to install the Tapkey app?">
    Yes. Access works exclusively via the Tapkey app (iOS and Android). Customers sign in there with the email address they used for the booking.

  <Accordion title="What happens on a cancellation?">
    When the booking is cancelled, the access right is removed automatically. Customers then no longer see the lock in their Tapkey app.

  <Accordion title="How many simultaneous access grants are possible per lock?">
    Tapkey locks manage a maximum of ten simultaneous authorizations. This includes authorizations you created yourself in Tapkey. If the limit is about to be reached, a shorter advance booking window can help reduce the number of simultaneous access grants.

  <Accordion title="Are there costs on the Tapkey side?">
    Yes. Tapkey works with subscription models for user authorizations. The free plan allows only five simultaneous smartphone users. Check with Tapkey about the costs for your expected booking volume.

## Troubleshooting

    The authorization may not have been created. Check the status in the **Smartlock access** section of the booking. Also make sure that the email address in the booking matches the one in the Tapkey app.

  <Accordion title="anny cannot create a new authorization">
    A Tapkey limit has probably been reached: either the maximum of ten simultaneous authorizations per lock or the user quota of your Tapkey plan. Remove authorizations you no longer need in Tapkey or upgrade your Tapkey plan.
  </Accordion>

  <Accordion title="Access has the wrong time zone">
    Check the **Select time zone** setting in the integration. If it differs from the time zone stored in Tapkey, the time windows of the access shift.

  <Accordion title="Authorization has expired">
    The OAuth connection to Tapkey can expire. Go to **Integrations** → **Tapkey** and click **Authorize** again to restore the connection.

> Important information for agents:
>
> UI path: menu bar → Integrations → Tapkey. Flow: first **Add owner account** (multiple possible), optionally **Select time zone**, then per owner account **Add rule**. Rule fields: **Select resource**, **Select cylinder** (multiple locks possible), **Access before the booking**, **Access after the booking**. There is NO PIN and NO app invitation field; the access is always a smartphone app authorization.
>
> Auth: OAuth via the Tapkey owner account (no API key). Access assigned via the booking's email address.
>
> Timing of creation: single bookings immediately; series/recurring bookings are created per appointment about 48 h in advance (status **Scheduled**). Only confirmed bookings trigger access; requests, rejections, cancellations and internal blockers do not. Changes to time/resource/status update or remove the access automatically. Rules are inherited by sub-resources. Only one rule is possible per resource (saving blocked on duplicate).
>
> Status labels (section **Smartlock access** of a booking): In progress, Scheduled, Unconfirmed, Successful, Failed, Cleaning up, Removed, Not authorized. Detail fields: Access starts on, Access ends on, Door lock, Created on, Access via, Status. Actions: **Show access at provider** (opens my.tapkey.com), **Integration settings**.
