# Tags

> Label bookings, orders, customers, resources and services with colored tags and filter your lists by them.

Tags let you label records with colored keywords, for example "VIP", "Corporate" or "Follow-up". This way you spot important bookings in the calendar at a glance, filter your lists by a topic and keep special cases visible to your team. Tags apply to your whole organization: everyone on your team sees the same tags.

## Where can I add tags?

You can add tags to these records:

* Bookings
* Orders
* Customers
* Resources
* Services
* Inquiry forms

In the details of these records you find the **Tags** field. The tables have a **Tags** column and a **Tags** filter.

## Create and manage tags

You manage all tags of your organization in one place: in the **Settings** on the **Groups** tab. The **Tags** group is at the top. Resource groups, service groups, product groups and booking bundle groups live on the same page and are described in [Groups](/en/groups-and-categories).

### Add a tag

  <Step title="Open Groups">
    Open the **Settings** and switch to the **Groups** tab.

    You see the **Tags** group with all existing tags.

  <Step title="Create a new entry">
    Click **Add Tag** below the list.

    A new row appears at the end of the list.

  <Step title="Set name, color and description">
    Enter the tag's name under **Name**. Use the color dot to the left of the name to pick a color. Under **Description** you can optionally note what the tag is for.

    The tag is available in all tag fields right away.

### Edit, sort and delete tags

* **Rename or change the description**: Click the name or description directly in the list and change the text.
* **Change the color**: Click the color dot in front of the name.
* **Change the order**: Drag a tag to the position you want. Tags appear in this order in the picker and on records.
* **Delete**: Click the three dots in the row, then **Delete**, and confirm.

<Warning>
  When you delete a tag, anny removes it from every record it is attached to. This cannot be undone.

## Add tags to a record

    Open the details of a booking, order, customer, resource, service or inquiry form.

    Below the base data you see the **Tags** field.

    Click the **Tags** field or **Add tags…**.

    A list of all tags opens. Use **Search** to find a tag quickly.

  <Step title="Select tags">
    Click one or more tags.

    The selected tags appear as colored chips in the field. anny saves them immediately, so you do not need to save the record separately.

To remove a tag, click the **×** on its chip or deselect it in the list. **Remove all** removes all tags at once.

You can also change tags directly in the **Tags** column of the tables without opening the record.

### Create and edit tags right in the picker

If you are allowed to manage tags, you do not need to switch to the settings:

* **Create a new tag**: Type a name that does not exist yet in the picker and click the entry marked **Create**. The new tag is added right away.
* **Edit a tag**: Click the three dots next to a tag. There you change **Name** and **Color** or remove the tag with **Delete**. Before deleting, anny shows you how many records the tag is attached to.
* **Manage all tags**: The gear icon (**Manage tags**) at the top of the picker takes you to the settings on the **Groups** tab.

## Change tags on several records at once

In the **Bookings** and **Resources** tables you can change the tags of many entries at once.

    Click **Edit tags** in the bar.

  <Step title="Choose Add or Remove">
    Choose **Add** to add tags or **Remove** to take tags off. Then select the tags.

    The selected tags appear in the field.

  <Step title="Apply the change">
    Click **Apply**.

    anny changes the tags of all selected entries.

<Note>
  With **Add**, the entries keep their existing tags. With **Remove**, anny only takes off the selected tags; all others stay.

## Filter by tags

The **Bookings**, **Orders**, **Customers**, **Resources**, **Services** and **Inquiry forms** tables have a **Tags** quick filter.

    The table shows all entries that have at least one of the selected tags.

**Reset** clears the filter. If you save a view with this filter, the tagged entries are always one click away.

## Tags in the calendar

In the [calendar](/en/calendar), you see tags directly on the booking cards and in the agenda. anny combines the tags of the booking, the order and the customer. If a customer has the tag "VIP", you see it on each of her bookings without tagging every booking individually.

A booking card shows the first tag and sums up further tags as a number such as **+1**. Open the booking to see all its tags.

<Tip>
  Short booking cards do not show tags because there is not enough space. Open the booking to see its tags.
</Tip>

## Who can add tags?

* **Add and remove tags**: Anyone who can edit a record can tag it.
* **Create, edit, sort and delete tags**: Your role needs the **Tags** permission with the **Manage** level. Without it, the list in the settings is read-only and you cannot create new tags in the picker.

You grant the **Tags** permission in user and role management: in the sidebar under **Admin users**, on the **Roles** tab for a whole role, or via **Manage permissions** for single users. Learn more in [Roles and permissions](/en/roles-and-permissions).

## When do I use this?

* **Take special care of regular customers**: Tag the customer with "VIP". The tag appears on all of their bookings in the calendar.
* **Flag open items for your team**: Add a tag such as "Follow-up" and filter bookings by it until everything is done.
* **Organize resources by equipment**: Tag rooms with "Wheelchair access" or "Ground floor", for example, and filter resources by them.
* **Recognize company bookings**: Tag orders or customers with "Corporate" so your team sees them right away.

## FAQ

  <Accordion title="Can customers see my tags?">
    No. Tags are only visible to your team in the admin area. They do not appear on the booking page or in emails.
  </Accordion>

  <Accordion title="Why do I see a tag in the calendar that I did not add to the booking?">
    In the calendar, anny shows the booking's tags together with the tags of its order and customer. The tag is attached to the order or the customer. Open the order or the customer to change it there.
  </Accordion>

  <Accordion title="What happens to records when I delete a tag?">
    The tag is removed from all records. The records themselves stay unchanged. When you delete from the tag picker, anny shows you how many records the tag is attached to.
  </Accordion>

  <Accordion title="Can I tag several bookings at once?">
    Yes. Select the entries in the **Bookings** table and click **Edit tags**. This also works in the **Resources** table.
  </Accordion>

  <Accordion title="Do I need to save after adding a tag?">
    No. Tags are saved immediately as soon as you select or remove them.
  </Accordion>

## Troubleshooting

<AccordionGroup>
  <Accordion title="I cannot create a new tag">
    Only people with the **Tags** permission at the **Manage** level can create new tags. Without it, you can only add existing tags. Ask someone with admin rights to create the tag or to give you the **Tags** permission.
  </Accordion>

  <Accordion title="The Tags field cannot be edited">
    Only people who can edit a record can tag it. Check your role, for example whether you are allowed to edit bookings or resources.
  </Accordion>

  <Accordion title="Tags were not changed on all selected entries">
    If a message such as **Tags could not be updated on 1 of 3 records.** appears, anny could not change some entries, for example because of missing permissions. Check the affected entries and add the tags there individually.
  </Accordion>

  <Accordion title="A booking card in the calendar shows no tags">
    Short booking cards hide tags because there is not enough space. Open the booking to see its tags.
  </Accordion>

> Important information for agents:
>
> * Tags are organization-wide (fields: name, color, description, order). They can be attached to bookings, orders, customers, resources, services and inquiry forms. Not visible to customers.
> * Management: **Settings** → **Groups** tab → **Tags** group (first group, followed by resource groups, service groups, product groups, booking bundle groups). Inline editing of **Name** (with color dot) and **Description**, drag and drop for order, **Add Tag**, row action **Delete** with confirmation 'Delete "Name"?'.
> * Deleting removes the tag from all records (cascade) and cannot be undone.
> * **Tags** field in the details (booking incl. calendar panel, order, customer, resource, service, inquiry form). Picker with placeholder **Add tags…**, **Search**, "n selected", **Remove all**. Saves immediately ("Tags are saved immediately."). The **Tags** table column is editable in place.
> * With the tags permission: create a new tag by typing + **Create**; three dots per tag: **Name**, **Color**, **Delete** (confirmation states the number of attached records); gear **Manage tags** → Settings, Groups.
> * Bulk **Edit tags** only in the **Bookings** and **Resources** tables: window "Tags for n records", mode **Add** / **Remove**, **Apply** / **Cancel**. Success: "Tags updated on n records.", partial failure: "Tags could not be updated on x of n records."
> * Quick filter **Tags** (any of the selected tags) in bookings, orders, customers, resources, services, inquiry forms; buttons **Reset** / **Apply**.
> * Calendar: booking cards (first tag + "+n"), agenda and narrow event strips (as color dots) show the merged tags of booking, order and customer (deduplicated, in tag order); short cards hide tags. No hover preview.
> * Permissions: adding tags = edit permission on the record. Creating/editing/sorting/deleting tags = new **Tags** permission at the **Manage** level (sidebar **Admin users** → **Roles** tab, or **Manage permissions** per user); otherwise the settings list is read-only.
