# Connect Microsoft Teams with anny

> Automatically create Teams meetings for your bookings and provide customers with the join link.

[Microsoft Teams](https://www.microsoft.com/en/microsoft-teams/group-chat-software) is Microsoft's video conferencing and collaboration solution. With the integration, anny automatically creates appointments with a Teams meeting in the calendars of your Microsoft organization for your bookings.

With Microsoft Teams you can, inside anny:

* Automatically create an appointment with a Teams meeting in a designated person's calendar for every confirmed booking
* Provide customers with the join link automatically via the booking confirmation and the calendar entry
* Keep meetings automatically up to date across reschedules, cancellations, and resource changes

The integration is especially suitable for online consultations, office hours, coaching, and courses where your appointments take place digitally.

## How the Microsoft Teams connection works

The connection is granted once for your entire Microsoft organization. When you authorize, anny redirects you to Microsoft. There, an administrator of your Microsoft directory (Active Directory) confirms the access. Individual employees do not have to sign in.

anny uses the access solely for two things: it reads the user list of your organization (names and email addresses), so you can choose hosts and default participants. And it creates, updates, and deletes appointments with a Teams meeting in the calendars of the chosen hosts. anny does not access chats, files, or other content.

If your Microsoft administrator revokes the grant, anny can no longer create, update, or delete meetings. In that case, reauthorize the integration.

## Connect Microsoft Teams

### Requirements

Before you connect Microsoft Teams, make sure you have the following:

* A Microsoft 365 organization with Microsoft Teams; the hosts need their own calendar mailbox
* An administrator of your Microsoft directory who can confirm the grant
* Admin rights in your anny account
* Resources and booking options set up for which meetings should be created

### Set up the connection

    Open **Integrations** from the menu bar and select **Teams**. Click **Authorize** and sign in to Microsoft. Only an administrator of your Microsoft directory can confirm the grant.

  <Step title="Create connections">
    In the **Microsoft Teams settings** panel, define for which resources meetings are created:

    1. Click **Add**.
    2. In the field **Choose the resource**, select the desired resource. Exactly one connection is possible per resource.
    3. Optional: limit the connection to specific booking options via **Select booking options**. Without a selection, **All booking options** applies.
    4. In the field **Choose the meeting host**, select the person in whose calendar the appointments are created.
    5. Optional: use **Select the default participants of the meeting** to define people who are invited to every meeting.
    6. Confirm the connection and repeat the steps for further resources.

Once the integration is active, anny automatically creates an appointment with a Teams meeting for every newly confirmed booking of the linked resources. Your customers get the join link with the booking confirmation.

  While the integration is active, the settings are locked. Deactivate it briefly via the **toggle** when you want to create, edit, or delete connections.

### Settings & options

| Choose the resource                            | The resource for whose bookings meetings are created. Each resource may have only one connection.                                                                          |
| Select booking options                         | Limits the connection to specific booking options. Without a selection (**All booking options**), anny creates a meeting for every booking of the resource.                |
| Choose the meeting host                        | The person from your Microsoft organization in whose calendar the appointment is created. They are the host of the meeting and are the only one who sees all participants. |
| Select the default participants of the meeting | People who are invited to every created meeting, for example fixed advisors or assistants.                                                                                 |

The created appointment carries the name of the booking option and the resource, is in the resource's time zone, and gets the calendar category "anny \[resource name]". The customer is added as a participant. Participants cannot propose new times, and the participant list is hidden: customers do not see one another.

For resources with multiple availability, all bookings of the same time slot share one common meeting. anny adds further customers as participants and removes them again on cancellation. Only when the last booking is cancelled does anny delete the meeting.

## Limitations

The Microsoft Teams integration does not support:

* **Meetings for unconfirmed bookings:** Booking requests get their meeting only once you accept them. Bookings without a customer (for example, internal blockers) get no meeting.
* **Retroactive meetings:** Bookings created before the integration was activated get no meeting.
* **Personal Microsoft accounts:** The integration needs a Microsoft organization with an administrator grant. For an individual's Microsoft account, use the Outlook calendar integration with the option "Add Teams meeting to appointment".
* **Multiple hosts per resource:** Each resource can be linked with only one connection and thus one host.
* **Changes during operation:** Settings can only be edited while the integration is deactivated.

## Disconnecting

<Warning>
  If you deactivate the integration, anny no longer creates, updates, or deletes Teams meetings. This also applies to existing bookings: if a booking is rescheduled or cancelled during deactivation, its meeting stays unchanged in the calendar. When you delete the integration, your connections are removed. Already created appointments remain in the hosts' calendars and must be deleted there manually if needed.

You can do both under **Integrations**: deactivate via the **toggle** in the top right, delete via the **three dots** → **Delete**.

## FAQ

  <Accordion title="How do my customers get the join link?">
    The booking confirmation email contains the **Join Teams meeting** button. The calendar entry of the booking also contains the link. In addition, the customer is added to the appointment as a participant at Microsoft. As an admin, you see the link in the booking overview under **Start MS Teams meeting**.

  <Accordion title="What happens on reschedules or cancellations?">
    anny keeps the meeting up to date automatically: on a reschedule the appointment is adjusted, the join link stays valid. On cancellation, decline, or deletion of the booking, the meeting is deleted. If the booking switches to a different resource, anny deletes the old meeting and creates a new one according to the connection of the new resource.

  <Accordion title="Do the participants of a shared meeting see one another?">
    No. The participant list of the appointment is hidden. Only the host sees who is invited. This is especially relevant for courses with several bookings in the same time slot.

  <Accordion title="I already use a calendar integration with Teams meetings. Do I need this integration as well?">
    The Outlook and Microsoft 365 calendar integrations can attach Teams meetings directly to synced appointments. The Microsoft Teams integration works independently of that and needs no calendar sync. Use only one of the two approaches per resource: if both run in parallel, two separate meetings are created per booking.

    The selection only shows people from your Microsoft directory who have their own email address with a mailbox. The list is also cached for up to one hour: newly created people therefore appear with a delay.

## Troubleshooting

  <Accordion title="No meeting is created for a booking">
    Usually the integration is deactivated or no connection matches the booking. Check whether the **toggle** is active, whether a connection exists for the resource, and whether the booked booking option is included in it. Also note: meetings are only created for confirmed bookings with a customer and only after the booking process is complete.

  <Accordion title="Authorization fails">
    The grant was not confirmed by an administrator of your Microsoft directory or was cancelled. Start the authorization again and have it confirmed by a person with Microsoft admin rights. Via the **three dots** → **Test connection** you can then check whether the connection is in place.

  <Accordion title="The join link leads to an error page">
    Either the meeting has not yet been created or it no longer exists. Right after the booking, it can take a moment until the meeting is created at Microsoft. If the booking was cancelled or moved to a different resource, the old link is invalid; in the second case, the current booking contains a new link.

> Important information for agents:
>
> **Distinction:** This article covers the standalone video meeting integration (tile **Teams** under Integrations, category video meetings). NOT meant: the MS Teams app (using anny within Microsoft Teams, article ms-teams-app), the Outlook add-in (article outlook-add-in), and the Teams meeting options of the calendar integrations ("Add Teams meeting to appointment" for Outlook, "Create as online meeting" for Microsoft 365; articles outlook and m365-workspace).

> **Relationships:** Plan feature video meetings, together with Zoom, anny Video Calls, and PurpleView; if an active connection already exists, the integration stays visible even without the plan feature. The authorization works like Microsoft 365 Workspace (admin consent for the tenant, app access without user login), but is a separate connection; the grant is not shared between the integrations. Parallel operation with a calendar integration including the online meeting option produces two separate Teams meetings per booking.
>
> **UI paths:** Menu bar → **Integrations** → tile **Teams**. > **Quirks:** (1) The join link is an anny redirect link (path integrations/teams/open/{identifier}); it shows an error page until the meeting is created and is regenerated on a resource change, so old links from earlier emails are then invalid. On pure reschedules the link stays the same. (2) Shared meetings at capacity > 1: anny searches the host calendar for an appointment with identical time and identical title and adds or removes customers as participants; the meeting is deleted only when no customer is left. (3) Appointment properties: participant list hidden (hideAttendees), no time proposals allowed, category "anny \[resource name]", title following the pattern "\[booking option], \[resource]" or "\[resource] (\[rental option])". (4) For automatically assigned sub-resources, the connection of the parent resource applies. (5) Host/participant selection: only directory entries with a display name AND an email; list cached for up to 1 hour. (6) Failed Microsoft calls are retried up to 5 times with short intervals. (7) If the booking status changes away from "confirmed" (for example, decline), the meeting is deleted with a slight delay; a renewed confirmation creates a new meeting. (8) Meetings are created only when the booking process is complete (order completed) or on acceptance of a booking request, not already when the booking is created.
