# Manage Companies

> Keep companies as their own records: manage members, domain, billing address, and VAT ID centrally in one place.

With company profiles, companies are kept in anny as independent records, instead of just as free text on individual customer profiles. You manage members, domain, billing address, and VAT ID centrally in one place, creating a consistent basis for shared company data, analyses, and later billing processes.

## How do company profiles work?

A company is created as its own record and can be linked to several customers. Company data such as domain, billing address, and VAT ID is maintained on the company, not spread across individual customer profiles.

### Roles in the company profile

| Role        | Description                                                                                                                      |
| ----------- | -------------------------------------------------------------------------------------------------------------------------------- |
| Admin/Owner | Exactly one person per company. The central main contact (for example the point of contact). By default the first linked person. |
| Members | All other assigned people. Any number, assigned manually or automatically. |

### Assigning members

Members can be assigned to a company in two ways:

* **Manually**: You assign customers to the company via their customer profile.
* **Automatically**: New customers are assigned to the matching company based on company name and business email domain.

### Differing business address at checkout

Optionally, you can have a differing business address requested at checkout in the form settings of subscription plans, services, or booking packages. This setting is independent of the company profile and merely complements it.

<Tip>
  Automatic assignment saves work, but only works reliably when company names are maintained consistently and the email domain clearly matches the right company.
</Tip>

## When do I use this?

* **Several employees of one company use anny together**: Bundle all people under one company profile, instead of maintaining company data multiple times.
* **You want to manage billing address, VAT ID, and domain centrally**: Maintain this data once on the company instead of per person.
* **You need clean analyses by company**: With their own records, business customers are clearly separable in lists and exports.
* **You are preparing collective invoices or company-related billing**: Company profiles create the structural basis for this.
* **Not suitable for**: Purely private customers without a shared company context. The regular customer profile is enough there.

## How it connects with other features

* [**Manage customers**](/en/manage-customers): Customer profiles remain independent. Company profiles add a shared company level on top of the person level.
* [**Customer balances & collective invoices**](/en/customer-balances-and-collective-invoices): Company profiles form the basis for company-related billing processes.
* [**Communities**](/en/communities): Communities control booking access, company profiles bundle company data. Both can be combined (for example one community per business customer).

## Settings & options

| Setting (Admin)            | Description                                                                    |
| -------------------------- | ------------------------------------------------------------------------------ |
| Company name | Name of the company as a record |
| Domain | Business email domain for automatic assignment |
| Billing address | Central company address for invoices |
| VAT ID | The company's VAT identification number |
| Admin/Owner | Main contact of the company (exactly one) |
| Members | Assigned people (manual or automatic) |

Owners and admins see the company account's balances directly on the home screen of the company profile.

## FAQ

    No. You only enable it if you want to request a different business address in forms for subscription plans, services, or booking packages.
  </Accordion>

  </Accordion>

  <Accordion title="Can I find companies via the global search?">

## Troubleshooting

<AccordionGroup>
  <Accordion title="Employees are not assigned to the right company automatically">
    Check whether company name and email domain are maintained consistently. Even small differences can prevent automatic assignment.
  </Accordion>

  <Accordion title="Duplicate company profiles appear">
    This is usually a data quality issue. Check whether similar company names were created in parallel and use the domain as the criterion for cleanup.
  </Accordion>

  <Accordion title="No business address appears at checkout">
    This is expected behavior when the option was not enabled in the form of the subscription plan, service, or booking package. The checkout extension is optional.
