# Connect Google Calendar with anny

> Sync bookings and appointments between anny and your personal Google Calendar in real time.

[Google Calendar](https://calendar.google.com) is Google's calendar service. With the integration, you connect a resource in anny with a calendar of your personal Google account and keep both sides in sync automatically (two-way synchronization).

With Google Calendar you can in anny:

* Automatically create your resource's bookings as appointments in your Google Calendar
* Import appointments from your Google Calendar into anny as blockers or bookings and avoid double bookings
* Optionally have a Google Meet created automatically for bookings and invite the customer

The integration is especially useful when you or your team members keep personal calendars and a resource's availability should take both into account, for example for consultation appointments, coaching sessions or person-bound rooms. You find a comparison of all calendar integrations in the overview article [Calendar Integrations](/en/calendar-integrations).

<Info>
  Calendar synchronization must be included in your anny plan, otherwise the **Connect Google Calendar** button stays grayed out.
</Info>

## Typical use cases

| Use case                               | Description                                                                                                                                                  |
| :------------------------------------- | :----------------------------------------------------------------------------------------------------------------------------------------------------------- |
| Consultation and coaching appointments | **Bookings land automatically in the personal calendar.** Consultants see all anny bookings in their Google Calendar without opening anny. |
| Import availability from the calendar | **Private appointments block the resource automatically.** An appointment in Google Calendar creates a blocker in anny, and that time is no longer bookable. |
| Online meetings with Google Meet | **Every booking automatically gets a meeting link.** anny creates a Google Meet and invites the customer, and the link is available in the booking details. |

## How the Google Calendar connection works

The connection is established through signing in with your Google account (**Sign in with Google**). anny gets access to your calendar list (read only) and to the appointments of the calendars (read and write). anny does not read other Google data such as emails or contacts. If you revoke access in your Google account, synchronization stops: the integration shows a warning symbol and offers **Reauthorize**.

Synchronization runs in both directions and in real time:

| Data                                                  | Direction              | Frequency                                        |
| :---------------------------------------------------- | :--------------------- | :----------------------------------------------- |
| All future appointments and bookings (initial import) | Both directions | Once on activation |
| Bookings of the resource as appointments | anny → Google Calendar | Immediately on creation, change and cancellation |
| Appointments as blockers or bookings | Google Calendar → anny | Immediately via push notification |

anny syncs the period from today up to around 13 months into the future; it extends automatically every month. If a booking is canceled or declined in anny, anny deletes the associated appointment. Conversely, if an appointment is deleted in Google, anny removes the blocker or cancels the booking created from it. Every sync action is documented in the booking's activity log, and in the booking details the **Calendar synchronization** section shows the account, calendar and origin of the link.

## Connecting Google Calendar

### Requirements

Before you connect Google Calendar, make sure you have the following:

* A Google account with access to the desired calendar (for other people's calendars you need write access, and only those appear in the selection)
* Editing rights for the resource in your anny account
* An anny plan that includes calendar synchronization
* The resource is not already connected via the Google Workspace integration

### Setting up the connection

<Steps>
  <Step title="Start the setup">
    Open **Resources** from the menu bar, select your resource and go to the **Integrations** tab. In the **Personal calendar integrations** section, click **Connect Google Calendar**.
  </Step>

  <Step title="Authorize">
    Click **Sign in with Google**, select your Google account and confirm the access. After a successful sign-in, anny shows "Successfully authenticated".
  </Step>

  <Step title="Choose a calendar">
    In the **Calendar** field, choose the calendar to sync with the resource. Your main calendar is preselected. You can also create your own sub-calendar in your Google account just for this integration.
  </Step>

  <Step title="Adjust settings and start">
    Adjust the settings (see below) and click **Start sync**.
  </Step>
</Steps>

Once the integration is active, anny first imports all future appointments and bookings. After that, all changes are synced in real time.

<Tip>
  Create your own sub-calendar in your Google account for the integration. This keeps synced bookings cleanly separated from your private appointments.
</Tip>

### Settings & options

| Setting                                  | Description                                                                                                                                                                       |
| :--------------------------------------- | :-------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| Select active booking options | Appointments are only created for bookings of the selected booking options. Without a selection, **All booking options** applies. |
| Title of appointments in Google Calendar | Determines the appointment title: **Title of the booking**, **Booking number**, **Name of the resource**, **Name of the service** or **Name of the resource and booking option**. |
| Title of bookings in anny | Determines the title of imported appointments: **Title of the event** or **Anonymized**. Appointments marked as private are always anonymized. |
| Add preparation and follow-up time | Extends the appointment by the booking's preparation and follow-up time. Example: a 30-minute booking with 15 minutes of preparation time results in a 45-minute appointment. |
| Sync all events | Also imports appointments that have the status "Available" in Google. Otherwise, only appointments that count as "Busy" are imported. |
| Create appointments as blockers | Imported appointments are created as blockers (default). If you turn the option off, confirmed bookings with the selected default service are created instead. |
| Default service for bookings | The booking option used to create bookings from appointments. anny determines the customer from the appointment organizer and creates them if needed. |
| Convert existing blockers to bookings | Appears when switching from blocker mode to booking mode. Converts future blockers previously created from appointments to bookings once, as soon as you save and activate. |
| Add Google Meet to the appointment | Creates a Google Meet for synced bookings and invites the customer as a guest. With **For selected booking options** you can limit this to individual booking options. |

<Tip>
  A connection on a parent resource automatically applies to the bookings of its child resources. You do not need to connect each child resource individually.
</Tip>

## Limitations

The Google Calendar integration does not support:

* **Past appointments:** synchronization runs only from today, up to around 13 months into the future. Past entries are never imported.
* **Series as a whole:** series appointments are synced as individual appointments or individual bookings, without linking the series.
* **Invitation emails from Google:** anny creates appointments without Google notifications. Guests are only added when **Add Google Meet to the appointment** is active.
* **Changing the calendar afterwards:** the calendar is only chosen during setup. For a different calendar, delete the connection and set it up again.
* **Parallel operation with Google Workspace:** a resource already connected via the Google Workspace integration cannot additionally be connected with a personal Google Calendar.
* **Editing other people's appointments:** if you are only invited to an imported appointment (not the organizer), the resulting booking in anny is read-only.

## Disconnecting

<Warning>
  When you deactivate the integration, synchronization stops immediately in both directions. Already synced appointments, bookings and blockers remain. When deleting, anny removes the created synchronizations instead: appointments created by anny are deleted from your Google Calendar, and bookings and blockers created from appointments are removed from anny. You choose between **Only future synchronizations** and **All synchronizations (including past ones)**.
</Warning>

You can do both in your resource settings under **Integrations**: deactivate via the **toggle** in the integration row, delete via the **three dots** → **Delete**.

## FAQ

<AccordionGroup>
  <Accordion title="Can I connect several Google Calendars with one resource?">
    Yes. You can create several connections, e.g. the calendars of several team members. Only the exact same combination of account and calendar cannot be connected twice per resource.
  </Accordion>

  <Accordion title="What happens to private appointments from my calendar?">
    Appointments marked as private or confidential in Google are always imported by anny anonymized with the title "Not available". This applies regardless of the **Title of bookings in anny** setting.
  </Accordion>

  <Accordion title="Are participants invited to the appointments?">
    Only when **Add Google Meet to the appointment** is active: anny then adds the booking's customer and participants as guests. Google does not send invitation emails. Conversely, anny takes over the guests of an appointment along with their acceptance or decline as booking participants, when appointments are synced as bookings.
  </Accordion>

  <Accordion title="Can I import appointments as real bookings instead of blockers?">
    Yes. Turn off **Create appointments as blockers** and choose a **Default service for bookings**. New appointments are then created as confirmed bookings, with anny determining the customer from the appointment organizer. Existing blockers are converted with **Convert existing blockers to bookings**.
  </Accordion>

  <Accordion title="How do I know whether a booking was synced?">
    In the booking details, the **Calendar synchronization** section shows the connected account, the calendar and whether the booking came from an appointment or the appointment from the booking. In addition, the activity log records every creation, change and deletion by the integration.
  </Accordion>
</AccordionGroup>

## Troubleshooting

<AccordionGroup>
  <Accordion title="Appointments from my Google Calendar do not appear in anny">
    Most common cause: the appointment has the status "Available" in Google and the **Sync all events** setting is off. Also check whether the appointment is in the future and within the next roughly 13 months, whether the correct calendar is connected and whether the integration is active (toggle in the integration row).
  </Accordion>

  <Accordion title="When activating, the message 'Duplicate integration' appears">
    A connection with the same account and calendar already exists for this resource, or the resource is connected via the Google Workspace integration. Remove one of the two connections and activate again afterwards.
  </Accordion>

  <Accordion title="The integration shows a warning symbol or deactivated itself">
    The cause is usually revoked Google access, a calendar that is no longer reachable or missing write access. Click **Reauthorize** in the integration row and sign in again. For other people's calendars, check whether your account still has write access, and then reactivate the integration. On activation, anny automatically syncs all data anew.
  </Accordion>

  <Accordion title="A booking created from an appointment cannot be edited">
    The booking comes from an appointment where the connected account is only invited. Such bookings are read-only in anny. The organizer makes changes in the Google Calendar, and anny takes them over automatically.
  </Accordion>

> Important information for agents:
>
> **Distinction:** This article covers the "Google Calendar" integration (personal calendar of a single Google account, set up per resource). It is NOT the Google Workspace integration (central connection of Workspace resource calendars, separate article google-workspace). The two are mutually exclusive per resource. Overview and comparison: article kalenderintegrationen.
>
> **UI paths:** Setup: menu bar → **Resources** → resource → **Integrations** tab → "Personal calendar integrations" section → "Connect Google Calendar" button. Setup modal steps: "Authorize your integration" ("Sign in with Google" button), "Choose a calendar" ("Calendar" field), "Adjust the settings", finish "Start sync". Settings later via the gear icon in the integration row. Three-dot menu: "Activate integration", "Deactivate integration", "Delete", "Test connection". Booking details: "Calendar synchronization" section with actions "Show event in the external calendar" and "Resync calendar".
>
> **Quirks:** (1) Booking sync status: requested and invited bookings already create appointments; reserved ones (in checkout) do not; on cancellation/decline/cancellation the appointment is deleted. (2) Appointment deleted in Google: blockers are deleted, bookings canceled (not deleted). (3) If an appointment later switches to status "Available", the associated blocker is removed (as long as "Sync all events" is off). (4) All-day appointments are imported 00:00 to 00:00 in the resource's time zone. (5) The appointment description in Google contains the resource/booking option and, for real bookings, the customer name, email and add-ons; for blockers only the resource/booking option. (6) If the default service is deleted, the integration automatically falls back to blocker mode. (7) When deleting the integration there is the choice "Only future synchronizations" / "All synchronizations (including past ones)"; if cleanup fails, the deletion is canceled and admins are notified. (8) Reactivating always starts a full resync. (9) During the initial sync, the integration row shows a loading spinner and actions are blocked. (10) In the calendar selection, only calendars with write access appear; the main calendar is preselected. (11) Series bookings from anny: only the individual series elements are synced, not the series head.
>
> **Relationships:** Plan gating via the calendar synchronization feature (same unlock as Outlook, Microsoft 365 Workspace and Google Workspace). Activity log texts: "An appointment was created/updated/removed for this booking.", "This booking was changed by the Google Calendar integration". Error case "Calendar not reachable": self-deactivation plus notification to admins; reactivation possible after fixing.
