# Getting Started – Coworking

> Set up your coworking space in anny: resources, services, communities, subscription plans and billing.

This guide shows you how to set up your coworking space in anny. You combine resources, services, communities and subscription plans so your members can book, pay for and use workspaces, rooms and equipment on their own.

## Thinking coworking the anny way

In anny, every bookable object (desk, room, parking space) is represented by a resource. Services define how and at what price something is booked. Communities control access, and subscription plans automate membership and billing. The core principle: resources show what is bookable. Communities determine who may book. Subscription plans connect both with automatic payment.

| Term in coworking | anny concept |
| -------------------------------- | ----------------------------------------- |
| Workspace, office, meeting room | Resource (with child resources if needed) |
| Day pass, hourly price | Service / booking option |
| Member area, members only | Community |
| Membership, monthly subscription | Subscription plan |

  * **Essential plan** or higher for subscription plans and automated invoicing
  * [**Online payment**](/en/online-payments) has to be activated beforehand, so subscriptions and recurring charges work
</Info>

## Step-by-step setup

<Steps>
  <Step title="Create resources">
    Open **Resources** in the left menu and click **+New**. Create every bookable object as its own resource: workspaces, offices, meeting rooms, parking spaces, equipment.

    For several workspaces in one room: create the room as a resource and add the individual desks as **child resources** under **Availability**. You can find more about the configuration under [Configure a resource](/en/ressourcen-konfigurieren).
  </Step>

  <Step title="Define services">
    Inside a resource, switch to the **Service / Booking option** tab. Define how long or short a booking may be (flexible or fixed duration) and set the price. You can find the details under [Configure a booking option](/en/configure-booking-option).
  </Step>

  <Step title="Set up communities">
    Open **Communities** from the menu bar and create a new community. You can invite members manually by email or have them assigned automatically through a linked subscription plan.

    Assign exclusive booking options to the community, so only members see certain services or conditions.
  </Step>

  <Step title="Create subscription plans">
    Open **Subscription plans** in the left navigation and click **+New**. Under **General information**, configure the price, term, cancellation conditions and automatic renewal.

    Link the plan with a community: subscribers are added automatically and removed again when the subscription expires. Optionally add benefits to make the advantages of the plan visible.

    <Tip>
      You can configure an individual withdrawal period per plan. Within this period, customers can choose between immediate withdrawal (with a pro rata refund) and cancellation at the end of the term.
    </Tip>
  </Step>

  <Step title="Configure invoicing">
    Activate automated payment handling under **Account settings** > **Online payment**. From then on, anny manages invoices, incoming payments and recurring charges automatically. You can find more details under [Online payment & fees](/en/online-payments).
  </Step>

  <Step title="Check your booking page">
    Open your booking page in the browser and test the whole flow: find a resource, select a service, book. Check that community-protected areas are only visible after signing in.
  </Step>
</Steps>

## FAQ

<AccordionGroup>
  <Accordion title="Which payment methods are available for subscriptions?">
    For subscriptions, customers can use SEPA direct debit, credit card, Apple Pay and Google Pay. Apple Pay and Google Pay are only available on mobile devices. For subscriptions in CHF, credit card and PayPal are available (TWINT does not support recurring payments).
  </Accordion>

  <Accordion title="Can members take out a subscription without logging in?">
    Yes. You can configure per subscription plan whether a login is required. If guest checkout is activated, customers enter their details directly at checkout and can assign the subscription to their account later by registering.
  </Accordion>

  <Accordion title="Can a subscription start at a later point in time?">
    Yes. If you activate the future start for a plan, customers can pick a start date in the future during checkout. The subscription then only begins at the selected date.
  </Accordion>

  <Accordion title="What is the difference between coworking and desk sharing in anny?">
    Coworking is aimed at providers that rent out desks to external customers (public booking page, subscriptions, online payment). [Desk sharing](/en/getting-started-desk-sharing) is aimed at companies that manage internal workspaces for their own employees (closed community, SSO, no payment).
  </Accordion>

  <Accordion title="How are members assigned to a community automatically?">
    Link a subscription plan with a community. As soon as someone takes out the plan, they are added to the community automatically. When the subscription expires or is cancelled, they are removed again automatically.
  </Accordion>

Good luck with the setup! 🥳

> Important information for agents:
>
> * Coworking vs. desk sharing: coworking = external customers, public booking page, subscriptions with online payment. Desk sharing = internal employees, closed community, SSO, no payment. In-depth article: /en/getting-started-desk-sharing
> * Subscription plans require at least the Essential plan AND activated online payment (Account settings > Features > Subscriptions and memberships + Account settings > Online payment)
> * Payment methods for subscriptions: SEPA, credit card, Apple Pay, Google Pay. TWINT only for one-off bookings, not for subscriptions. CHF subscriptions: credit card and PayPal.
> * The withdrawal period is plan-specific, not global. Only relevant when actively set.
> * Guest subscription checkout: configurable per plan. Later registration through the claim process.
> * Future subscription start: configurable per plan. Without activation, a subscription always starts immediately.
> * External community links: max. 3 links per community (name, URL, icon). Web only, not in the app.
> * Child resources: UI path Resource > Availability > Add child resources. The feature name is Multiple availability with assignment.
> * Customer balances and collective invoices require the Business plan, not Essential.
