# FAQ

> Answers to the most common questions about anny: setup, bookings, payments, integrations, and more.

## Getting started & setup

  <Accordion title="What do I need to start with anny?">
    You only need an anny account. After registering, you set up your profile in the [admin area](/en/admin-area-intro), create your first [resource](/en/ressourcen-konfigurieren), and link a [booking option](/en/configure-booking-option). As soon as the resource is set to "live", it is visible and bookable on your [booking page](/en/booking-page-overview).

  <Accordion title="What is the difference between a resource and a booking option?">
    A **resource** is the bookable object (room, workspace, course). A **booking option** defines how it is booked: duration, price, interval, and rules. A resource can have several booking options (e.g. hourly and daily), and a booking option can be linked to several resources.   <Accordion title="How do I make my resource visible on the booking page?">
    A resource needs three things: (1) at least one [schedule](/en/schedules) or [available slot](/en/available-slots), (2) a linked [booking option](/en/configure-booking-option), and (3) the status "live". Without any one of these, it is not shown on the booking page.

  <Accordion title="Which anny plan do I need?">
    You can try anny free for 7 days. After that, Essential, Professional, Business, and Enterprise are available. The right plan depends on your features and the number of your resources. Details: [Manage your anny plan](/en/anny-plan).

  <Accordion title="Can I use anny in multiple languages?">
    Yes. anny is available in 29 languages. The booking page is automatically shown in the language of your customers. You can translate resources and services manually (three dots > Translate).

## Availability & time control

  <Accordion title="What is the difference between schedules and available slots?">
    [Schedules](/en/schedules) define regular, recurring opening hours (e.g. Mon to Fri, 9:00 to 18:00). [Available slots](/en/available-slots) are specific, individual time windows with a fixed date (e.g. a workshop on 15 Sept at 10:00). Both can be combined on the same resource.

  <Accordion title="How do I map seasonal deviations (e.g. a holiday period)?">
    Create an additional [schedule](/en/schedules) with an availability period (start/end date) and position it above your default schedule via drag and drop. In the defined period, the upper schedule automatically overrides the lower one.

  <Accordion title="How do I block resources for a period (e.g. a public holiday)?">
    Use [global blockers](/en/global-blockers). They block several resources at the same time for a defined period, regardless of existing schedules.

  <Accordion title="What do the lead time and the advance booking period do?">
    The **lead time** determines how short-notice a booking can be made (e.g. at least 2 hours in advance). The **advance booking period** limits how far into the future a booking can be made (e.g. a maximum of 4 weeks). You configure both in the [booking option](/en/configure-booking-option) under the advanced settings.

  <Accordion title="Can I adjust capacity to demand automatically?">
    Yes, with [dynamic capacity planning](/en/dynamic-capacity-planning). On-demand resources are added automatically as demand rises.

## Booking flow & configuration

  <Accordion title="What is the difference between resource-first and service-first flow?">
    In the **resource-first flow**, customers first choose a specific resource, then the booking option. In the [service-first flow](/en/service-first-flow), they first choose the service, then optionally the resource. Service-first is suited to services (hairdresser, consulting), resource-first to specific objects (rooms, equipment).

  <Accordion title="Can I show both flows on the booking page at the same time?">
    Yes. Under **Account settings > Booking page**, you can show both the "Services" tab and the "Resources" tab. Customers then switch between the two views. Learn more: [Service-first flow](/en/service-first-flow).

  <Accordion title="What are the booking types (standard, transparent, multiple, full)?">
    **Standard** blocks the resource for the booking period. **Transparent** does not block (unlimited parallel bookings). **Multiple** blocks several capacity units per booking. **Full** blocks the entire capacity (only for child resources). You configure this in the [booking option](/en/configure-booking-option).

  <Accordion title="How does Smart Availability work?">
    [Smart Availability](/en/smart-availability) links resources so that a booking automatically blocks all dependent resources (e.g. divisible rooms with a partition wall). With Smart Availability Groups, you define pools from which anny automatically selects available resources (e.g. 2 staff members + 1 room for a couples massage).

  <Accordion title="How do I limit how often a person can book?">
    With [booking rules](/en/booking-rules). They limit the number of allowed bookings per period across the account. You can restrict the scope to specific resources/services and define exceptions via white lists. Available from Professional.

  <Accordion title="Can customers change or cancel their bookings themselves?">
    Yes, if you enable it. [Booking modifications](/en/modify-bookings) allow rescheduling and adjustments. [Cancellation policies](/en/cancellation-policy) define deadlines and costs. Both are configured per booking option.

## Customers, communities & access

  <Accordion title="How do I make resources accessible only to certain people?">
    Use [communities](/en/communities). Create a community, link resources, and add members. Only members see and book the assigned resources. Members can be added manually, by email domain, SSO, booking rule, or through a subscription.
  </Accordion>

  <Accordion title="What is a booking quota and how do I assign it?">
    A [booking quota](/en/booking-quotas) is a credit (quantity, duration, or budget) that each person uses up when booking. You assign it: manually in the customer detail view, or automatically via subscription plan, community, or booking package. Example: 5 meeting room hours per month in the coworking subscription.

  <Accordion title="What is the difference between a booking package, a value voucher, and a discount code?">
    A [booking package](/en/booking-codes) is purpose-bound (specific quota, VAT charged at purchase, 8-digit booking code). A [value voucher](/en/value-vouchers) is a multi-purpose voucher (pure monetary value, 0% VAT at purchase, redeemed as a means of payment). A [discount code](/en/discount-codes) is a percentage or fixed price reduction with no credit logic.

  <Accordion title="How do I set up memberships with automatic billing?">
    Create a [subscription plan](/en/subscriptions-and-memberships) with a price and interval. Optionally link a community (for exclusive access) and a quota (for included services). When they subscribe, customers automatically receive both. Requirement: online payment (Stripe) must be active.

  <Accordion title="Can customers switch between subscription tiers?">
    Yes. Within a [subscription plan group](/en/subscriptions-and-memberships), upgrades (effective immediately, billed pro rata) and downgrades (at the next billing point) are possible. Customers can switch on their own on the booking page.

## Payments & invoices

  <Accordion title="Which payment methods does anny support?">
    Via Stripe Connect: SEPA direct debit, credit card, Apple Pay, and Google Pay. For subscriptions in CHF: credit card and PayPal (TWINT does not support recurring payments). All methods are active at the same time and cannot be deactivated individually. Details: [Online payment & fees](/en/online-payments).

  <Accordion title="Can I let customers book on invoice?">
    Yes, with [pay on invoice (pay-later)](/en/pay-later). Customers pay by invoice after the booking. Alternatively, use [customer balances & collective invoices](/en/customer-balances-and-collective-invoices) to collect draft invoices and bill them together.

  <Accordion title="How does dynamic pricing work?">
    [Dynamic pricing](/en/dynamic-pricing) automatically adjusts prices via price modifiers: by weekday, time of day, capacity, community membership, lead time, or number of bookings. You define conditions and anny applies the price automatically at booking. Available from Professional.

  <Accordion title="How do I correct or cancel an invoice?">
    Via [invoice corrections](/en/invoice-corrections), you can cancel invoices in full, create correction invoices, or change the billing address afterwards. Draft invoices can still be freely edited before finalization: [Invoice draft](/en/invoice-drafts).

## Check-in, displays & on-site

  <Accordion title="How do I set up a check-in with a QR code?">
    Activate the feature under Account settings > Features > Check-in & Check-out. Then configure the QR code ticket per resource under the "Check-in" tab.   <Accordion title="Can I connect room displays to anny?">
    Yes. The [Display App](/en/display-app) turns tablets and smart TVs into interactive room displays with live status and ad-hoc booking. Alternatively: [URL display boards](/en/url-display-boards) for browser-based displays without an app installation. For Joan displays: [Set up Joan](/en/joan-setup). For tapirx e-ink displays: [tapirx](/en/tapirx-setup).

  <Accordion title="Can I request forms at check-in instead of at checkout?">
    Yes (BETA). Set the request time for [custom forms](/en/custom-forms) or [legal documents](/en/legal-documents) to "Later (at check-in)". The request then only appears during the check-in process at the terminal.

  <Accordion title="How do I take payments on-site?">
    With the [POS App](/en/pos-app-setup). Connect a card reader or use Tap to Pay (iPhone) and handle payments directly on-site. You manage bookings and payments in the [POS App](/en/pos-app-bookings-and-payments).

  <Accordion title="How do I connect a smart lock to anny?">

  <Accordion title="Can I use SSO (single sign-on)?">
    Yes. anny supports [Microsoft SAML SSO](/en/microsoft-saml-sso), [Google Workspace SSO](/en/google-workspace-sso), and [federated SAML](/en/federated-saml). In addition: [SCIM](/en/scim-user-provisioning) for automatic user synchronization and [attribute mapping](/en/attribute-mapping) for community assignment via user attributes.   <Accordion title="Can I sync bookings with my HR tool?">
    Yes. anny integrates with [Personio](/en/personio) and [HRworks](/en/hrworks). In case of absence, bookings are cancelled automatically. Conversely, bookings can be written to the HR system as absences.

  <Accordion title="Is there a connection to accounting systems?">
    Yes. Via the [DATEV integration](/en/datev-integration), you export bank statements and receipts in a DATEV-compliant format. For other systems, use [automatic exports](/en/automatic-exports) as CSV or Excel at fixed intervals. General info: [Accounting with anny](/en/accounting).

    Yes. Via [Make.com](/en/make-com) (formerly Integromat), you connect anny with hundreds of other tools through drag-and-drop workflows.

## anny AI

  <Accordion title="What can anny AI do?">
    [anny AI](/en/anny-ai-setup) is an AI assistant that takes calls, advises customers, checks availability, and creates bookings, by phone and chat. You can [customize](/en/anny-ai-customize-assistant) the voice, greeting, and behavior individually and maintain a [knowledge base](/en/anny-ai-knowledge-management) so the assistant answers competently.

  <Accordion title="How do I forward calls to anny AI?">
    Via a [call forwarding](/en/anny-ai-call-forwarding) from your existing phone number. Your familiar number stays the same, and calls are forwarded to the anny AI assistant.

  <Accordion title="Can anny AI transfer to a staff member?">
    Yes. When the assistant cannot help further, it transfers to a [staff member](/en/anny-ai-call-transfer) on request. You configure which numbers it is allowed to transfer to.

    Via the [widget](/en/embed-booking-page). It works via iframe or script on any website.   <Accordion title="Can I book through Outlook without opening anny?">
    Yes. The [Outlook Add-In](/en/outlook-add-in-user-guide) lets you book rooms and workspaces directly from within Outlook. Admin setup: [Connect the Outlook Add-In](/en/outlook-add-in).

  <Accordion title="Is there an interactive map view for resources?">
    Yes. With [interactive 3D floor plans](/en/maps-and-floor-plans), you can upload floor plans and place resources on them. Customers see available resources marked in green and can book directly via the map.

## Security & data privacy

  <Accordion title="Is anny GDPR-compliant?">
    Yes. anny is developed and hosted in Germany. All data is processed on German servers. The infrastructure is ISO 27001 certified. Learn more in the [anny Trust Center](https://trust.anny.co/).
