# Connect EVVA AirKey with anny

> Create a time-limited app access for EVVA-secured doors automatically per booking, without handing over keys.

[EVVA AirKey](https://www.evva.com/de-de/produkte/elektronische-schliesssysteme-zutrittskontrolle/airkey/) is an electronic locking system that controls doors via a smartphone app. With this integration, anny automatically creates a time-limited app access for the matching EVVA-secured door on every booking.

With EVVA AirKey, you can do the following in anny:

* Automatically create a time-limited app access for EVVA-secured areas per booking
* Link anny resources to one or more EVVA locks through rules
* Grant customers access without registration or key handover

The integration is especially handy when you make EVVA-secured rooms bookable through anny and want to fully automate access, without manual approval or key coordination.

## Typical use cases

| Use case                           | Description                                                                                                                                                                                                              |
| :--------------------------------- | :----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| Unlock meeting rooms automatically | **Access exactly at the booked time.** When a meeting room is booked, the booking person receives the link to the EVVA app by email shortly before the start. The room can then be opened within the booked time window. |
| Coworking and studio spaces | **Keyless access without a front desk.** Customers enter booked spaces on their own via the app, without your team having to approve anything manually. |
| Bookings with changing users | **Automatic assignment via mobile number.** Every booking person gets their own access, created at the right time and removed again after it ends. |

## How the EVVA AirKey connection works

The connection is set up using an API key. You create the key in the EVVA admin area and store it in anny. anny then authenticates with your EVVA AirKey cloud access and is allowed to create and remove access there.

As soon as a resource with a matching rule is booked, anny schedules an access for exactly that booking and writes it to the matching lock only about 30 minutes before the access becomes valid. The assignment to the booking person happens through the stored mobile number. When writing the access, EVVA sends new guests an email with the link to set up the EVVA app. Anyone who already has an activated AirKey medium receives no new email and uses their existing app access.

<Tip>
  The access is deliberately created at the lock only shortly before it starts, not at the time of booking. This is not a bug, it is part of the integration logic. For bookings far in advance, the access therefore becomes visible only shortly beforehand.
</Tip>

If you revoke or change the API key, anny loses access and can no longer create new access. In that case, update the key in the integration.

| Access (create, remove) | anny → EVVA | About 30 minutes before access starts, or on cancellation |

## Connect EVVA AirKey

### Requirements

Before you connect EVVA AirKey, make sure you have the following:

* An active EVVA AirKey cloud access with locks and areas set up
* An API key from the EVVA admin area (under **Settings** → **General** → **AirKey Cloud Interface (API)** → **Create key**)
* Admin rights with access to the **Integrations** in anny
* A booking option that asks for the mobile number in the form

### Set up the connection

<Steps>
  <Step title="Open the integration">
    Open the **Integrations** from the **menu bar** and select **EVVA AirKey**.
  </Step>

  <Step title="Authorize">
    In the EVVA admin area, create a new API key under **Settings** → **General** → **AirKey Cloud Interface (API)**. Copy the key and paste it into the **API key** field in anny. Click **Save**.
  </Step>

  <Step title="Configure">
    Use a **rule** to link an anny resource to one or more EVVA **areas** (locks):

    1. Click **Add** to create a new rule.
    2. Select the **resource** that should grant access on booking.
    3. Select the associated **areas** to which access is granted.
    4. Use **Access before the booking** and **Access after the booking** to define how long before and after the booking the access is valid.

    Only one rule is possible per resource. A rule on a parent resource also applies to bookings of its sub-resources.
  </Step>

  <Step title="Enable the mobile number in the form">
    Go to **Resource settings** → **Edit booking option** → **Form** and enable **Always ask for mobile number**. Enable this for all affected resources before you save the rule, otherwise the rule cannot be saved. Without a mobile number, no access can be assigned.
  </Step>

  <Step title="Check the connection">
    In the **Integrations**, check whether EVVA AirKey is shown as active. Create a test booking and check whether the access is created shortly before the access starts.
  </Step>
</Steps>

Once the connection is active and a rule applies, anny automatically creates an app access shortly before the start on every matching booking.

<Tip>
  You can edit or delete existing rules via the **three dots** to the right of the rule.
</Tip>

### Settings & options

| Setting                   | Description                                                          |
| ------------------------- | -------------------------------------------------------------------- |
| Access before the booking | Minutes before the booking start from which the access is active. |
| Access after the booking | Minutes after the booking end up to which the access stays active. |
| Mobile number in the form | Must be enabled so the booking person can be assigned to the access. |

### View access in the admin area

In the **booking detail view**, you can see active and past access under **Smartlock access**. For each access, you see:

| Information                       | Description                                                                                                                                                                                 |
| --------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| Status | **Scheduled** (created, will be written shortly before use), **Successful** (access active), **Failed** (creation failed), **Cleaning up** (being deleted) or **Removed** (access revoked). |
| Access starts on / Access ends on | Time window in which the access is valid. |
| Door lock | The linked EVVA area. |
| Created on | When the access was created. |

Via the **three dots** on the access, you can navigate to the integration settings.

## Limitations

The EVVA AirKey integration does not support:

* PIN code access: only app access via the EVVA app is supported.
* Remote Open: there is no button to open a door from within anny.
* Immediate access after booking: the access is created only shortly before it starts.
* Communities: access can only be granted through bookings, not through community memberships.

## Disconnect

<Warning>
  If you want to keep existing access credentials but stop new ones from being created, deactivate the integration. If everything should be reset and deleted, delete the integration.
</Warning>

You can do both under **Integrations**: deactivate via the **toggle** in the top right, delete via the **three dots** → **Delete**.

## FAQ

<AccordionGroup>
  <Accordion title="When exactly is the access created?">
    The access is scheduled as soon as the booking is confirmed, and only created at the lock about 30 minutes before the access starts. For recurring bookings, anny schedules each appointment only about 48 hours in advance. The late creation is intentional and part of the integration logic.
  </Accordion>

  <Accordion title="When do customers receive the notification?">
    EVVA sends the email with the link to set up the access when anny creates the access, that is about 30 minutes before the access starts. New guests get the registration link, guests with an already activated AirKey medium use their existing app access.
  </Accordion>

  <Accordion title="Why is the mobile number so important?">
    The access is assigned to the booking person via the mobile number. If it is missing or not stored in the expected format, anny cannot assign the access.
  </Accordion>

  <Accordion title="Do customers need an EVVA account?">
    No. Customers do not have to register with EVVA. Setup runs through the link in the email and the EVVA app.
  </Accordion>

  <Accordion title="Can I unlock multiple locks per resource?">
    Yes. Per rule, you can link a resource to one or more EVVA areas.
  </Accordion>
</AccordionGroup>

## Troubleshooting

<AccordionGroup>
  <Accordion title="No access is visible before the booking starts">
    In most cases this is expected behavior. The access is deliberately created at the lock only about 30 minutes before it starts. For recurring bookings, the access for an appointment appears only about 48 hours beforehand. Wait until shortly before the booking time and then check again.
  </Accordion>

  <Accordion title="Customer receives no usable access">
    First check whether the resource is correctly assigned to an EVVA area. Then check whether a valid mobile number is stored for the booking person. Without both, anny cannot create the access.
  </Accordion>

  <Accordion title="Customer is looking for a PIN code">
    EVVA AirKey supports app access only. A missing PIN is not a bug, it is part of the intended flow. Point customers to the EVVA app.
