# Connect DATEV with anny

> Automatically export your organization's invoices and payments as a DATEV batch and send it to your tax firm.

With the DATEV integration, anny does **not** create a native connection to DATEV Unternehmen online. Instead, anny regularly (or on demand) creates a DATEV batch file (EXTF format) and automatically sends it by email to your accounting or tax firm. There, the file can be imported into DATEV Kanzlei-Rechnungswesen.

  The integration supports organizations based in **Germany** with payments in **EUR** via anny Payments (Stripe).

## Requirements

* Activated anny Payments, see [Set up Stripe Connect](/en/stripe-connect-setup)
* The **consultant number** and **client number** of your tax firm
* The **general ledger accounts** of your chart of accounts for the account mapping

  The account suggestions are based on the DATEV standard chart of accounts **SKR 03**. Coordinate the account mapping with your tax firm before activation. It is the basis for tax-compliant bookkeeping.

## Set up the integration

    Open **Organization settings → Integrations**, find the **DATEV** card, and click **Set up**. The integration settings open automatically.

  <Step title="Enter master data">
    Enter the data you receive from your tax firm:

  <Step title="Map accounts">
    Map the general ledger accounts. For SKR 03, common values are pre-filled as placeholders.

    You can already enter the fields for deposit, prepayments, and reduced VAT for takeaway. They are currently not booked automatically and are only placeholders for future features.

  <Step title="Set the export schedule">
    Choose how often the export is created, and the time in your organization's time zone. The most recently completed period is always exported:

    * **Weekly** on a weekday of your choice → export of the previous week
    * **Monthly** on day 1–7 of the month → export of the previous month
    * **Quarterly** on day 1–7 of the first quarter month → export of the previous quarter

    <Tip>
      Recommendation: **monthly, day 3–7, early in the morning**.

  <Step title="Add email recipients">
    Add one or more email addresses, for example the mailbox of your tax firm. anny sends the export file as an attachment to these addresses. The subject reads, for example, `anny DATEV export 01.06.2026 - 30.06.2026 for Your Organization`.

  <Step title="Save and activate">
    Save the settings and activate the integration via the switch on the integration card.

      The integration is active as soon as the switch is green. The first export is created and sent at the next scheduled date.

    Activation is only possible once master data, mandatory accounts, and at least one recipient are stored.

## Create an export for a specific period

In addition to the automatic schedule, you can create an on-demand export at any time:

1. Open the DATEV integration settings.
2. In the **On-demand export** section, choose a period, for example **Last month**, **This month**, or a custom date range via **Custom**.
3. Click **Create export**.

anny creates the file in the background and sends it to the stored email recipients.

  On-demand exports can overlap in time with the automatic exports. Do not import the same period twice. If unsure, check the organization ID and the period in the file name.

## What is booked and how?

The integration creates a booking record for each business transaction:

The **clearing account** should be understood like a bank account: it represents the anny payment account. Payouts from anny are not revenue, but **transfer postings** from the clearing account via the **money transit** account to your business bank account (the contra entry comes through the bank import). These payout bookings are already part of the export.

The integration books credit notes and cancellation invoices automatically with reversed debit/credit indicators. If an invoice contains multiple tax rates or a mix of voucher and taxable service, for example shipping, a separate booking record is created per tax group.

### Refunds and disputes

Both cases book the money flow back (**receivables to clearing account**), but differ in how revenue is handled:

In the case of a lost dispute, the original revenue booking (receivables to revenue account) remains. anny only books the payment back. Whether and how the revenue is corrected for tax purposes afterward is decided by your tax firm.

<Note>
  An optional difference amount of a dispute (charge against receivables) is also only a payment reversal, not a revenue reversal. Any processing fee would be booked to the incidental costs of payment transactions — anny generally does not pass on such dispute fees.

### anny fees and input tax

The [anny fees](/en/online-payments) include the statutory VAT (19% for German organizations). The fee bookings carry the tax rate in the DATEV column **Tax rate**, so your firm can deduct the input tax. The anny fee invoice serves as the document: for fees charged later, its number is in **Document field 1**. The fee invoice itself is an incoming invoice and is not exported as revenue.

### Value vouchers

anny value vouchers are multi-purpose vouchers: no VAT is due on sale, and the amount is booked to the voucher account. The taxable revenue only arises on redemption, on the respective invoice. The redeemed amount offsets the receivable from the voucher account.

## The export file

* **Format:** DATEV batch EXTF, version 700/12 (category 21)
* **Encoding:** Windows-1252, semicolon separator, directly importable into DATEV
* **File name:** `EXTF_Buchungsstapel_{organization ID}_{YYYYMMDD}-{YYYYMMDD}.csv` — the DATEV prefix `EXTF_Buchungsstapel` is kept, extended with the organization ID and period
* **Email subject:** `anny DATEV export {period} for {organization name}`
* **Finalization:** indicator `0` (not finalized). Your firm reviews the batch and finalizes it manually
* **References:** invoice number in document field 1, anny and Stripe references in the document info fields, unique booking GUID per booking record

## Frequently asked questions

  <Accordion title="Is this a connection to DATEV Unternehmen online?">
    No. anny creates an export file and sends it by email. There is no native live integration with DATEV Unternehmen online.

  <Accordion title="Why can't I activate the integration?">
    Activation requires that the consultant number, client number, all mandatory accounts, and at least one email recipient are stored. Check the settings for empty fields and save again.
  </Accordion>

  <Accordion title="What happens to invoices that are finalized only after the export?">
    The export includes invoices based on their invoice date within the respective period. If an invoice is finalized only after its period has been exported, it does not automatically appear in the next export. Therefore, choose the export day with a buffer (day 3–7) or, if needed, create an on-demand export for the affected period.

  <Accordion title="Can I change the export interval later?">
    Yes. When switching, for example from monthly to weekly, the next export period can overlap with periods already exported. Coordinate the switch with your firm and do not import periods twice.

  <Accordion title="An export arrived without any bookings. Is that an error?">
    No. If there were no finalized invoices, payments, or payouts in the period, the file contains only the header rows. It is still sent, so your firm knows the period was empty.

  <Accordion title="Which payments are not exported?">
    Invoices without online payment, for example invoice purchase or cash payment, are only booked as revenue. Your accounting books the payment settlement. Invoices in currencies other than EUR are fully excluded from the export, including their revenue. anny only exports transactions in EUR.

  <Accordion title="How are refunds and reversals booked?">
    **Refunds** (booking text "Refund"): the payment is booked back (receivables to clearing account). In addition, anny creates a **cancellation invoice** that offsets the revenue on the revenue accounts.

    **Disputes** (booking text "Reversal"): **only the payment** is booked back (receivables to clearing account). The revenue is **not** reduced automatically — there is no cancellation invoice. The original revenue booking remains; any revenue-side correction is handled by the tax firm.

  <Accordion title="When exactly is the export sent?">
    anny checks the due exports hourly. The set time determines the next run, but delivery can be delayed by up to about an hour. Therefore, do not plan the date around minute-precise delivery, but with some buffer.

  <Accordion title="What happens if sending fails?">
    anny retries creating an export automatically. If it ultimately fails, an error note appears in the integration settings. A failed run does not block future scheduled exports, because the next date is set beforehand.
