# anny Video Calls

> Create, start, and run video meetings directly in anny, without an external tool or extra account.

anny Video Calls is anny's native video feature. With it you create, start, and run video meetings directly in anny, without an external tool and without an extra account. Planning, booking, and running an appointment all stay on one platform.

With anny Video Calls you can, inside anny:

* Automatically create video meetings for your bookings
* Start and run meetings entirely within anny
* Run appointments without switching tools and without extra licenses

The integration fits if you want to run consultations, conversations, or appointments by video directly from anny, without switching to an external video tool.

<Info>
  anny Video Calls is currently a beta feature. The integration appears under **Integrations** → **anny Video Calls** as soon as it is enabled for your organization.

## How anny Video Calls works

anny Video Calls is built into anny natively. No external account and no separate sign-in is needed, neither for you nor for participants. The video meetings are created and held within anny.

You control which appointments get a video call through **meeting rules**. A meeting rule links a **resource** with one or more **booking options**. If you make no selection, the rule applies to **All booking options**. You can create exactly one rule per resource. A rule on a parent resource also applies to bookings of its sub-resources.

The video call is created as soon as a matching booking is confirmed. Booking requests get their video call only once they are accepted. If a booking is cancelled or declined, anny deletes the video call and the link becomes invalid. If only the time shifts, the link stays the same. For recurring bookings, each appointment gets its own video call.

Customers find the link as a **Join video call** button on their booking page, in the confirmation email, and in the calendar entry. As an admin, you join via the booking details: there anny shows the note "This booking contains a video call." and you start the meeting as moderator via **Join video call**.

## Set up anny Video Calls

### Requirements

Before you set up anny Video Calls, make sure you have the following:

* A suitable role or permission in anny to manage integrations
* At least one **resource** and one **booking option** you want to link with video calls

### Set up the connection

<Steps>
  <Step title="Open the integration">
    Open **Integrations** → **anny Video Calls**. Leave the integration deactivated for now: you can only edit meeting rules while the **toggle** is off.
  </Step>

  <Step title="Add a meeting rule">
    Click **Add**, choose the **resource**, and then one or more **booking options**. Without a selection, the rule applies to **All booking options**. Save with **Confirm**.
  </Step>

  <Step title="Activate the integration">
    Activate the integration via the **toggle** in the top right.
  </Step>

  <Step title="Check the connection">
    The new meeting rule appears under **Meeting rules**. From now on, a video call is created automatically for matching confirmed bookings.
  </Step>
</Steps>

Once the integration is active and a meeting rule exists, matching confirmed bookings automatically get an anny video call.

<Tip>
  If you make no selection for the booking options, every appointment for the resource takes place by video. For individual formats, select the matching booking options instead. If you want to change rules later, deactivate the integration briefly via the **toggle** first.
</Tip>

## Disconnecting

<Warning>
  If you deactivate the integration, anny no longer creates new video calls and existing meeting links stop working temporarily. After you reactivate it, they work again. When you delete it, all meeting rules are removed permanently and already created meeting links stay invalid for good.
</Warning>

You can do both under **Integrations**: deactivate via the **toggle** in the top right, delete via the **three dots** → **Delete**.

## FAQ

<AccordionGroup>
  <Accordion title="Do participants need an anny account for the video call?">
    No. The video call takes place directly in anny. Participants need no account of their own and no extra tool.
  </Accordion>

  <Accordion title="For which appointments is a video call created automatically?">
    For all confirmed bookings that match an active meeting rule. A meeting rule links a resource with one or more booking options (without a selection: all). Booking requests get their video call as soon as you accept them.
  </Accordion>

  <Accordion title="Can I create multiple meeting rules?">
    Yes, for each resource you can create its own meeting rule via **Add**. Exactly one rule is possible per resource. You select multiple booking options of the same resource within that one rule.
  </Accordion>

  <Accordion title="Are there any extra costs or licenses?">
    No external video tool licenses and no extra accounts are needed, for you or your participants. anny Video Calls runs directly in anny.
  </Accordion>

## Troubleshooting

<AccordionGroup>
  <Accordion title="No video call was created for my booking">
    Usually no matching meeting rule is active or the booking is not yet confirmed. Check under **Integrations** → **anny Video Calls** whether the integration is activated and a meeting rule covers the booked resource and booking option. Booking requests get their video call only once accepted; a customer must also be assigned to the booking.
  </Accordion>

  <Accordion title="The meeting rule cannot be saved">
    Usually the integration is still active or a rule already exists for the resource. Deactivate the integration via the **toggle** and edit the resource's existing rule instead of creating a second one. The booking options are optional: without a selection, the rule applies to all.
  </Accordion>

  <Accordion title="The video call cannot be started">
    Usually the integration is deactivated or the booking was cancelled. Check whether the integration is active under **Integrations** → **anny Video Calls** and whether the booking is still confirmed. For cancelled or declined bookings, anny deletes the video call.
  </Accordion>

> Important information for agents:
>
> **Distinction:** anny Video Calls is a native anny feature, NOT an external integration, despite being placed under "Integrations". Do not confuse it with the external video integrations Zoom, MS Teams, and Purpleview, with Teams meetings from the calendar integrations (Outlook, Microsoft 365), or with the MS Teams app.
>
> **UI paths & wording:** Menu bar → **Integrations** → tile "anny Video Calls (Beta)". Panel "Meeting rules" with button "Add"; fields in the rule dialog: "Choose the resource", "Select booking options" (multi-select, placeholder "All booking options"), save via "Confirm". When the integration is active, the note "To edit the settings, the integration must be deactivated." appears. Admin booking details: banner "This booking contains a video call." + "Join video call". Meeting page (lobby): buttons "Join video call", "Leave call", after it ends "Call ended" + "Rejoin".
>
> **Quirks:** (1) The technical backbone is the video conferencing provider Digital Samba; anny configures it globally, organizations do not enter credentials. (2) The duration of a meeting room matches the booking duration, at most 24 hours. (3) If a booking's resource changes, the video call is recreated and the link changes; already sent emails/calendar entries then contain the old, invalid link. (4) The meeting interface starts in the organization's default language; participants can switch the language within the meeting. (5) If room creation fails briefly, anny retries it automatically several times. (6) Participants join with the customer's name or as a guest; the meeting lobby shows a booking overview if the link allows booking access. (7) Bookings without an assigned customer get no video call.
>
> **Relationships:** The visibility of the integration depends on a plan feature (video meeting) and on platform-wide enablement by anny (beta). The meeting link also appears in the confirmation email and in the booking's ICS calendar file.
